About the Role
We are looking for a detail-oriented Legal Accounting Associate to support our legal and financial operations. The ideal candidate will be responsible for managing client trust accounts, bookkeeping, accounts payable, expense tracking, payroll support, and client payment coordination. This role requires excellent organizational skills, accuracy, and the ability to work proactively with clients and internal stakeholders.
Key Responsibilities
1. Trust Account Management
- Reconcile multiple bank accounts accurately.
- Maintain and update a master Excel workbook with separate tabs for each client.
- Track all client trust transactions and ensure complete accuracy.
- Record journal entries for revenue recognition in QuickBooks Online (QBO).
- Ensure compliance with trust accounting guidelines and maintain proper documentation.
2. Client Payment Coordination
- Monitor client checks, including settlement and medical checks.
- Respond promptly to inquiries regarding the status and location of client payments.
- Proactively communicate with clients to obtain required information related to outstanding checks.
- Issue client checks and maintain a monthly tracking report of all issued payments.
3. Bookkeeping
- Perform day-to-day bookkeeping activities.
- Record financial transactions accurately in QuickBooks Online (QBO).
- Maintain general ledger accounts and ensure accurate financial records.
- Assist in month-end reconciliations and financial reporting.
4. Accounts Payable
- Process vendor invoices and payments.
- Enter bills and maintain AP records.
- Ensure timely payment of vendors while maintaining supporting documentation.
5. Expense & Utility Management
- Track business expenses and utility payments.
- Prepare payment schedules and notify management of upcoming payment obligations.
- Maintain organized expense records for reporting purposes.
6. Payroll Administration
- Process weekly and bi-weekly payroll accurately.
- Verify payroll data before processing.
- Coordinate with management regarding payroll adjustments and employee payments.
Required Qualifications
- Bachelor's degree in Accounting, Finance, Commerce, or a related field.
- 2–5 years of bookkeeping or legal accounting experience preferred.
- Experience with QuickBooks Online (QBO) is required.
- Strong understanding of bank reconciliations, bookkeeping, accounts payable, payroll, and trust account management.
- Advanced proficiency in Microsoft Excel (VLOOKUP, Pivot Tables, formulas, and data management).
