Job Summary
We are looking for an experienced and organized HR & Office Administration Executive to manage day-to-day HR operations and ensure the smooth functioning of the office.
The ideal candidate should have 3+ years of experience in HR operations, employee coordination, recruitment support, attendance and leave management, documentation, vendor management, facility administration, and general office operations. This role requires robust communication, multitasking, problem-solving, and interpersonal skills.
Key Responsibilities
HR Operations
- Manage employee onboarding and exit formalities.
- Maintain employee records, personal files, HR databases, and statutory documents.
- Monitor employee attendance, leave records, working hours, and regularization requests.
- Coordinate payroll inputs, including attendance, leave, incentives, deductions, and reimbursements.
- Support recruitment activities such as job posting, candidate screening, interview scheduling, and follow-ups.
- Prepare offer letters, appointment letters, confirmation letters, experience letters, and other HR documents.
- Coordinate employee induction and orientation programs.
- Assist with performance review processes and employee engagement activities.
- Address employee queries related to HR policies, attendance, leave, payroll, and workplace matters.
- Support the implementation and communication of company policies and procedures.
- Coordinate training programs, team activities, celebrations, and employee welfare initiatives.
- Ensure confidentiality of employee and company information.
Office Administration
- Manage daily office operations and ensure a clean, safe, and professional workplace.
- Coordinate with vendors for housekeeping, security, maintenance, stationery, internet, equipment, and other office services.
- Maintain office supplies and ensure timely procurement of required materials.
- Manage vendor quotations, purchase requests, invoices, agreements, and payment follow-ups.
- Coordinate repair and maintenance of office equipment, furniture, electrical systems, and facilities.
- Manage courier services, incoming and outgoing correspondence, and office documentation.
- Maintain administrative records, asset registers, inventory, access cards, and key records.
- Coordinate travel arrangements, accommodation, transportation, and meeting logistics when required.
- Support the organization of internal meetings, client visits, events, and office celebrations.
- Monitor office expenses and assist in preparing administrative reports and budgets.
- Liaise with building management, service providers, and external agencies.
- Ensure compliance with office safety, security, and administrative procedures.
- Provide general administrative support to management and employees.
Required Qualifications
- 3–5 years of relevant experience in HR operations and office administration.
- Practical knowledge of recruitment coordination, onboarding, attendance, leave, payroll inputs, and employee documentation.
- Experience in vendor management, facility coordination, procurement, and office maintenance.
- Proficiency in Microsoft Office, including Excel, Word, Outlook, and PowerPoint.
- Familiarity with HRMS, attendance, payroll, or administrative management systems is preferred.
- Good written and verbal communication skills.
