EXECUTIVE ASSOCIATE – to the office of the Managing Trustee. JOB LOCATION

Jal Bhagirathi Foundation and Khetri Trust is managed by the same Chief Functionaries at the position titled Managing Trustee. The EXECUTIVE ASSOCIATE – to the office of the Managing Trustee will take overall responsibility of his/her duties in both the Trusts.

The Executive

Associate is a strategic position within the Office of the Managing Trustee. The role is designed to strengthen executive leadership by providing high-quality research, analysis, coordination, and implementation support across the Trust's activities. This is not a conventional secretarial position.

While the incumbent will provide executive coordination and administrative support wherever necessary, the primary responsibility is to assist the Managing Trustee in informed decision-making by undertaking research, preparing briefing papers, analysing issues, coordinating institutional priorities, and ensuring effective implementation of decisions.

The Executive

Associate will work on a diverse range of matters including governance, programme management, administration, finance, human resources, legal and regulatory issues, public policy, institutional development, and stakeholder engagement. The role requires intellectual curiosity, excellent analytical ability, sound judgement, initiative, and the ability to work independently in a fast-paced environment with multiple priorities. The successful candidate should possess exceptional writing and communication skills, be capable of rapidly understanding unfamiliar subjects, synthesising information from diverse sources, and presenting concise, well-reasoned recommendations to facilitate high-quality executive decisions.

KEY RESPONSIBILITIES: Executive Decision Support

Conduct research and gather information on matters requiring executive consideration, including governance, programme, financial, legal, policy, administrative, and institutional issues. Prepare high-quality background papers, briefing notes, analytical reports, presentations, concept notes, and other decision-support documents for the Managing Trustee. Analyse information from multiple sources, identify key issues, evaluate available options, and present concise recommendations to facilitate informed decision-making.

Maintain awareness of developments in law, public policy, philanthropy, governance, and sectors relevant to the Trust's work.

Executive

Coordination

Serve as the principal coordinating point within the Office of the Managing Trustee for communication with internal teams, consultants, partners, government agencies, donors, and other external stakeholders. Coordinate the Managing Trustee's meetings, official engagements, correspondence, travel, and institutional commitments. Ensure timely communication of executive decisions to concerned teams and monitor their implementation. Meetings and Governance

Plan and coordinate meetings of the Trusts, committees, and project teams. Prepare agendas, circulate meeting papers, coordinate presentations, record proceedings where required, and ensure systematic follow-up of decisions.



Develop systems for tracking action points and monitoring implementation of decisions across the organisation.

Project

Monitoring and Institutional Coordination

Track organisational priorities, project milestones, statutory compliances, and strategic initiatives to ensure timely completion. Coordinate across departments and programme teams to identify implementation challenges and facilitate timely resolution. Prepare periodic progress reports and executive dashboards for review by the Managing Trustee. Administration and Executive Office Management

Provide executive and administrative support necessary for the efficient functioning of the Office of the Managing Trustee. Maintain confidential records, institutional documents, correspondence, reports, and executive files with the highest standards of professionalism and discretion. Coordinate official visits, conferences, workshops, and organisational events. Procurement and Vendor Management

Coordinate procurement processes, vendor relationships, quotations, purchase documentation, and processing of high-value purchases and organisational expenditure in accordance with approved procedures. Ensure proper documentation and record management relating to procurement and contractual matters.

Human

Resources

Coordinate recruitment processes including preparation of job descriptions, candidate screening, interview scheduling, onboarding, and induction. Assist in staff development initiatives, organisational capacity building, and implementation of human resource policies.

Institutional

Development

Identify opportunities for improving organisational systems, administrative processes, documentation standards, and operational efficiency. Undertake special assignments and strategic initiatives entrusted by the Managing Trustee from time to time. QUALIFICATIONS, EXPERIENCE AND COMPETENCIES:

The ideal candidate should possess a Graduate or Postgraduate degree from a leading college in the Humanities or allied disciplines. Suitable academic backgrounds include History, Political Science, Economics, Geography, Sociology, Languages and Literature, Legal Studies, Fine Arts, Management, Media Studies, Public Policy, Development Studies, or any other discipline that demonstrates strong analytical, research, communication, and conceptual abilities. Preference will be given to candidates with 5–8 years of relevant professional experience in executive support, institutional management, administration, programme management, consulting, research, public policy, governance, or related fields.

However, the Trust welcomes applications from exceptional young professionals with outstanding academic credentials, demonstrated intellectual ability, excellent communication skills, and a strong commitment to learning, qualified growth, and organisational excellence. The successful candidate must possess outstanding written and verbal communication skills in English, together with exceptional drafting, documentation,



report-writing, and presentation abilities. The role requires strong analytical, research, and problem-solving capabilities, including the ability to independently investigate unfamiliar subjects, critically evaluate information from diverse sources, and synthesise complex material into concise, wellreasoned, and actionable briefing notes and recommendations for executive decision-making.

The candidate should demonstrate excellent organisational and project management skills, with the ability to manage multiple assignments simultaneously, prioritise competing demands, and consistently deliver high-quality outputs within prescribed timelines. A high level of general awareness and a sound understanding of current affairs, governance, public policy, legal and regulatory developments, and socio-economic issues will be considered a distinct advantage. The position requires a professional of unquestionable integrity who exercises sound judgement, maintains strict confidentiality, and demonstrates maturity and discretion in handling sensitive institutional information.

The candidate should possess strong interpersonal skills, be capable of engaging effectively with a diverse range of stakeholders, and work independently with initiative, ownership, and minimal supervision. Proficiency in Microsoft Office applications, particularly Word, Excel, and PowerPoint, together with competence in digital collaboration platforms and internet-based research, is essential. REMUNERATION:

Budgeted consolidated remuneration is on a scale of Rs.8 to 15 lacs per annum, entirely depending on evaluation of the candidate’s potential, qualification, experience, and job retention ability. The Executive Associate shall undertake such additional duties, responsibilities, and special assignments as may be entrusted by the Managing Trustee from time to time in the interest of the Trust and for the effective functioning of the Office of the Managing Trustee. The Trust reserves the right to modify, expand, or reassign the scope of responsibilities in accordance with organisational needs. The Trust may also, at its discretion, offer the selected candidate another position that is considered more appropriate to the candidate's qualifications, experience, competencies, and organisational requirements, on terms and conditions, including remuneration, commensurate with the responsibilities of such position and the candidate's credentials.
