Job Title: Event Coordinator

Location: Chennai (in-office) — OOAK Photography

Reports to: Event Coordinator - Executive About OOAK Photography OOAK is India's first fully automated, AI-powered wedding photography platform. Once a client books us, the Event Coordinator is who makes sure the wedding actually gets executed flawlessly — this is the operational heartbeat of the company.

Role Overview You'll own every confirmed event from the moment Sales hands it over until the shoot is delivered — coordinating photographers, vendors, travel, and client expectations so nothing falls through the cracks on someone's wedding day.

Key Responsibilities Receive and process the sales handover: client vision, venue, dates, style preferences, and commitments made during sales.

Build out the event flow — assign the right photographers/videographers, additional services, assistants, and equipment for each event.

Coordinate vendors (makeup artists, decorators, etc. where applicable) and run quality checks on their deliverables.

Arrange travel & stay for outstation weddings — book and track logistics within budget.

Handle client change requests that come in after booking — reschedule, re-scope, and communicate calmly under pressure.

Review shooter readiness (dress code, briefing) before each event.





Track events on the shared calendar and flag any scheduling conflicts or discrepancies early.

Be the point of contact on WhatsApp for clients and vendors during the lead-up to and day of the event.

Requirements 1–3 years in event coordination, operations, or client servicing (wedding/events industry a strong plus).

Excellent organization — you're comfortable juggling 5-10 events in different stages at once.

Calm under pressure — wedding-day problems need fast, clear-headed solutions, not panic.

Solid communication in English and Tamil (client-facing).

Comfortable using software tools daily (calendars, WhatsApp, internal dashboards) — no coding needed, but you should be tech-comfortable. Nice to Have Experience specifically in wedding photography/videography operations.

Prior vendor management or logistics coordination experience.
