Role & responsibilities

1. Cross-Departmental AI Integration

Operations & Admin: Implement automated document processing, email classification, meeting summaries, SOP lookups, and internal knowledge-base search bots using retrieval-augmented generation (RAG) or Custom GPTs.

Supply Chain & Purchase: Build automated tracking workflows, vendor quotation comparison matrices, inventory reorder alerts, and purchase order audit scripts.

Business Development (BD) & Export: Deploy AI agents for lead generation, international market research, automated multi-lingual email outreach, and client communication drafting.

Marketing & Visual Graphics: Utilize generative AI image/video generation tools (Midjourney, Flux, Canva AI, Runway) to rapidly create product mockups, promotional collateral, social media posts, and localized marketing assets.

Regulatory & Quality Assurance:Create AI-driven document parsing tools to cross-reference batch manufacturing records (BMR), regulatory dossiers, international export compliance checklists, and COA (Certificate of Analysis) verifications.

Accounts & Finance:Automate invoice extraction (OCR), expense tracking, ledger reconciliation flags, and automated payment follow-up drafting.

2. Workflow Automation & Custom AI Agents

- Design and deploy low-code/no-code automated workflows using tools like Make.com, Zapier, or n8n.
- Create, configure, and maintain specialized internal Custom GPTs and AI Assistants tailored for specific business functions (e.g., Regulatory Dossier Assistant, Purchase RFQ Generator).
- Monitor API usage, workflow efficiency, and cost optimization across OpenAI,



Anthropic, and open-source models.

3. Change Management & Training

- Conduct weekly hands-on training sessions for team leads and staff to boost organization-wide AI literacy.
- Maintain a centralized library of verified prompts, AI templates, and automation playbooks for team use.

Required Qualifications & Skills

Education: Bachelors degree in Computer Science, Information Technology, Engineering, Data Science, or a business/analytical discipline with robust self-taught AI expertise.

Technical Proficiency:

Advanced mastery of LLMs (ChatGPT, Claude, Gemini, Perplexity) and Prompt Engineering.

Practical expertise in low-code automation tools (Make.com, Zapier, n8n).

Hands-on experience with visual generative AI tools (Midjourney, DALL-E 3, Canva AI, Photoshop AI).

Familiarity with document parsing/OCR tools (LlamaParse, Adobe Acrobat AI, Google Document AI).

Basic knowledge of Python, REST APIs, and JSON structures is a strong advantage.

Business Acumen: Ability to shadow department heads, understand operational bottlenecks, and translate vague requirements into structured AI workflows.

Mindset: Highly proactive, curious, self-driven, and execution-focused.

1. Process Time Reduction: Measure time saved in high-volume functions (e.g., automated invoice processing, regulatory document generation).
2. AI Adoption Rate: Percentage of daily/weekly workflows automated across all 8+ business functions.
3. Workflow Uptime & Accuracy: Ensuring automated agent triggers run error-free and output verified data.
