Office Administrator

Location: Chennai, Tamil Nadu
Employment Type: Full-Time, Permanent
Field Requirement: Approximately 50% field-based work. A valid driving license is mandatory.

About the Role

We are seeking a highly organized, proactive, and detail-oriented Administrative Officer to oversee the smooth functioning of daily office operations and administrative activities. The ideal candidate will play a critical role in ensuring efficient office management, facility maintenance, vendor coordination, asset administration, client support, procurement, and liaison with government authorities and external agencies.

This position is best suited for a dynamic professional who can effectively manage multiple responsibilities while maintaining high standards of operational excellence.

Key ResponsibilitiesOffice Administration & Facility Management

- Ensure the office premises are well-maintained, organized, and operational at all times.
- Coordinate routine maintenance, repairs, and facility-related services.
- Supervise housekeeping and support staff to maintain workplace standards.
- Conduct regular inspections to ensure cleanliness, safety, and functionality of office infrastructure.

Asset & Inventory Management

- Maintain accurate records of company assets and inventory.
- Monitor asset utilization, condition, and lifecycle management.
- Coordinate repairs, servicing, and replacement of office equipment when required.
- Ensure proper safeguarding and accountability of company resources.

Documentation & Certificate Management

- Coordinate the printing, verification,



and distribution of certificates and official documents.
- Ensure timely delivery and handover of documents to clients and stakeholders.
- Maintain systematic records and documentation for future reference and compliance.

Client Coordination & Payment Follow-Up

- Build and maintain professional relationships with clients.
- Follow up on pending payments through calls, emails, and personal visits when required.
- Maintain accurate records of communications and collection activities.
- Support the finance team in ensuring timely payment collections.

Procurement & Stock Management

- Manage office stationery, supplies, and consumable inventories.
- Monitor stock levels and initiate replenishment to prevent shortages.
- Source vendors and obtain competitive quotations for purchases.
- Ensure cost-effective procurement while maintaining quality standards.

Government & External Liaison

- Coordinate with government departments, regulatory authorities, and external agencies.
- Handle documentation, submissions, renewals, approvals, and compliance-related activities.
- Represent the organization during inspections, meetings, and official interactions.




- Ensure adherence to applicable administrative and regulatory requirements.

Qualifications & Experience

- Bachelor's Degree in Business Administration, Management, Commerce, or a related discipline.
- 1–3 years of experience in office administration, facility management, or related functions.

Required Skills

- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
- Ability to work independently and manage priorities effectively.
- Strong problem-solving and coordination skills.
- Willingness to travel locally for official duties.
- Valid driving license is mandatory.

Preferred Skills

- Experience in vendor and facility management.
- Knowledge of inventory and asset management processes.
- Basic understanding of accounting procedures and payment follow-up.
- Familiarity with government documentation and compliance procedures.
