JOB TITLE: WARD SECRETARY

- Shall report to higher officials through the Manager-F & A.
- Taking dictation and type out letters given by the head of department and other officer staff of the department.
- Maintaining a serial copy of letters in the department and making it available to the MD on a day-to-day basis and other Directors whenever demanded. Typing out the discharge summaries neatly.
- Preparing duplicate summaries after ascertaining the payments of fees stipulated for this purpose.
- Photocopying and various other tasks requested by the head of department.
- Doing all such duties that the secretary is supposed to do in an unforeseen exigency.
- Keeping the typing area clean and tidy.
- Shall maintain strict confidentiality about the staff related matters, purchases, negotiations, MOUs, personal letters of Directors etc.
- Greeting the clients/ patients,



answering phone calls and scheduling appointments with the doctors. Helping to perform insurance forms and giving adequate information on the coverage policies to the patients; by doing this they help the patients to decide which insurance plan would help them the most.
- Performing the transcriptions for the physicians on the basis of the recordings that have been provided by them. Doing the required computer work like updating the different records of the patients and carrying out the data entry job on regular basis.
- Handling of the correspondence jobs for some of the top- level physicians who require these correspondences for different purposes.
