Location: India Office (Kochi)
Department: Corporate Services / Administration
Reports To: Group Administration / Management

Position Summary

The Travel Desk Executive will be responsible for managing and coordinating all corporate travel requirements across the Group, ensuring efficient, cost-effective, and seamless travel arrangements for medical crew, management, and employees. The role will serve as the single point of contact for all domestic and international travel bookings, working closely with travel partners while continuously optimizing travel costs, service quality, and traveler experience.

The Travel Desk will support all Group companies and ensure timely execution of travel requirements in line with company policies and operational priorities.

Key Responsibilities

- Coordinate domestic and international flight bookings for medical crew, management, and employees across the Group.
- Manage hotel reservations, airport transfers, visa-related coordination, and other travel requirements.
- Liaise with travel agencies and vendors (such as Satguru, Siyana, and other approved partners) to obtain competitive fares and negotiate the best available options.
- Compare quotations from multiple travel partners to achieve cost optimization while maintaining service quality.
- Ensure timely issuance of flight tickets, hotel confirmations, and travel itineraries.
- Maintain complete travel records, including bookings, cancellations, amendments, refunds, and travel expenses.
- Coordinate urgent and last-minute travel requirements, particularly for operational and medical missions.




- Monitor travel budgets and provide periodic reports on travel expenditure, cost savings, and booking trends.
- Ensure compliance with company travel policies and approval workflows.
- Identify opportunities to establish preferred airline, hotel, and travel partner agreements to improve commercial benefits.
- Provide 24/7 support for emergency travel requirements whenever operationally required.
- Build and maintain strong relationships with airlines, hotels, and travel service providers to ensure priority support.
- Continuously improve travel processes, turnaround times, and traveler experience across the Group.

Preferred Experience

- Minimum 3 years of experience in a travel agency, corporate travel desk, travel management company (TMC), airline reservations, or hospitality industry.
- Experience handling international corporate travel and group bookings.
- Knowledge of airline fare structures, routing, ticketing, hotel contracting, and travel documentation.
- Experience working with Global Distribution Systems (GDS) such as Amadeus, Galileo, Sabre, or equivalent is preferred.
- Experience in medical assistance, healthcare, aviation, or emergency travel operations will be an added advantage.

Qualifications

- Bachelor's degree in Travel & Tourism, Hospitality Management,



Business Administration, or a related discipline.
- Certification in airline reservation systems or GDS is desirable.

- Proficiency in Microsoft Excel, Google Workspace, and travel booking platforms.

- Monthly travel cost reporting and budget adherence.
