Job Summary

Heal Your Paws (HYP) is looking for a smart, organized, and customer-oriented Front Office Executive & Office Coordinator to manage front desk operations, customer enquiries, CRM updates, appointments, and daily office coordination. The ideal candidate should have excellent communication skills, be comfortable handling customers, and possess robust administrative and coordination abilities.

Key Responsibilities

Front Office Management
Welcome and assist walk-in customers professionally.
Explain HYP services, facilities, packages, and pricing.
Schedule appointments for Boarding, Grooming, Day Care, Training, and Swimming.
Maintain a clean, organized, and qualified reception area.

Customer Support
Handle all incoming and outgoing calls professionally.
Respond to customer enquiries via:
WhatsApp Business
Facebook
Instagram
Google Business
Website Leads
Follow up with prospective customers and convert enquiries into bookings.
Ensure excellent customer service and satisfaction.

CRM & Data Management
Maintain complete customer records in CRM.
Update pet profiles, vaccination details, bookings, invoices,



and follow-up records.
Track leads and maintain daily enquiry reports.
Ensure accurate data entry and record management.

Office Coordination
Coordinate with Grooming, Boarding, Operations, and Management teams.
Manage appointments and daily schedules.
Maintain office documentation and administrative records.
Coordinate with vendors and support daily office operations.
Prepare daily and weekly MIS reports.

Sales & Relationship Management
Convert enquiries into confirmed bookings.
Upsell additional services and packages.
Build long-term relationships with pet parents.
Handle customer concerns professionally.

Desired Candidate Profile

Qualification

Graduate in any discipline.

Experience
14 years of experience in:
Front Office
Reception
Customer Service
Customer Relationship Management
Office Administration
Hospitality

Candidates from the Pet Industry, Veterinary Clinics, Hotels, Salons, Hospitals, Luxury Retail, or Service Industry will be preferred.
