Job Summary
The School Admin & Finance Head is responsible for overseeing the school's administrative operations, financial management, statutory compliance, procurement, facility management, and support services. The role ensures smooth day -to -day functioning of the school while maintaining financial discipline, operational efficiency, and regulatory compliance.
Key Responsibilities
Administration
- Oversee daily administrative operations of the school.
- Supervise administrative, transport, security, housekeeping, and maintenance teams.
- Ensure smooth functioning of school infrastructure, utilities, and facilities.
- Manage vendor selection, contracts, and service -level agreements.
- Coordinate school events, inspections, and administrative logistics.
- Develop and implement administrative policies and standard operating procedures.
- Maintain records, licenses, and statutory documents.
Finance
- Prepare and monitor annual budgets.
- Manage fee collection processes and receivables.
- Oversee accounts payable, vendor payments, and expense management.
- Ensure accurate bookkeeping and financial reporting.
- Monitor cash flow and optimize financial resources.
- Coordinate with auditors for internal and statutory audits.
- Ensure compliance with taxation, GST (where applicable), TDS, PF, ESI,
and other statutory requirements.
- Present periodic financial reports to the management.
Procurement & Inventory
- Manage procurement of school supplies, equipment, and services.
- Ensure cost -effective purchasing while maintaining quality standards.
- Monitor inventory and asset management.
- Conduct periodic stock verification and asset audits.
Human Resources Support
- Coordinate employee documentation and records.
- Support payroll processing in coordination with HR.
- Ensure compliance with employment policies and statutory requirements.
Compliance & Risk Management
- Ensure compliance with education board regulations and government requirements.
- Maintain safety, security, fire, and health compliance standards.
- Handle insurance policies and risk mitigation measures.
- Support emergency preparedness and crisis management.
Stakeholder Management
- Liaise with parents, vendors, government authorities, auditors, and service providers.
- Support the Principal and management in administrative and financial decision -making.
- Foster a culture of professionalism, accountability, and service excellence.
Requirements
Qualifications
- Bachelor's degree in Commerce, Finance, Business Administration, or a related field.
- MBA (Finance/Operations) or CA Inter/CMA qualification is preferred.
- 7–12 years of experience in administration and finance, preferably in a school or educational institution.
Required Skills
- Strong financial planning and budgeting skills.
- Knowledge of accounting principles and statutory compliance.
- Excellent leadership and team management abilities.
- Vendor and contract management expertise.
- Strong analytical and problem -solving skills.
- Proficiency in MS Office, ERP systems, and accounting software (such as Tally or similar platforms).
- Excellent communication and interpersonal skills.
- High integrity, organizational ability, and attention to detail.
