We are looking for a proactive and detail-oriented Executive Administration & Procurement to manage and streamline our day-to-day administrative operations, asset management, and procurement activities. This is a cross-functional role that sits at the intersection of facilities, vendor management, IT assets, and compliance, and is critical to keeping the Outzidr engine running smoothly as we scale.
Role & responsibilities -
- Maintain a comprehensive register of all IT assets across offices laptops, peripherals, networking equipments and accessories and conduct periodic physical verification to reconcile records and flag discrepancies.
- Oversee the full IT asset lifecycle: procurement, tagging, allocation, inter-office transfers, and retirement/disposal, with accurate documentation at each stage.
- Track all software licences and SaaS subscriptions, manage renewal calendars, coordinate additions or upgrades with vendors, and flag over-provisioning opportunities for cost optimisation.
- Own end-to-end procurement of office consumables, stationery, pantry supplies, and other indirect expense categories raise purchase requests, obtain quotes, negotiate terms, and process the same within approval frameworks.
- Maintain optimal inventory levels of consumables across all office locations, avoiding shortages and excess stock; coordinate issuance to teams and maintain accurate requisition logs.
- Manage physical storerooms across offices ensure they are organised, labelled, and tracked via a robust inventory system (manual or digital) with periodic stock counts and variance reporting.
- Ensure all office facilities are maintained in valuable working order covering housekeeping, electrical, plumbing, HVAC, security systems, and general upkeep across all locations.
- Coordinate AMCs and service schedules for all office equipment and facilities; liaise with landlords, property managers, and maintenance vendors for timely issue resolution.
- Support office setup, expansion, or renovation projects — including sourcing furniture, fixtures, and equipment — and manage access control and visitor management protocols.
- Build and maintain a vetted vendor directory; manage day-to-day vendor interactions, monitor SLA adherence, evaluate performance periodically, and negotiate commercial terms for value optimisation.
- Handle liaison with government bodies and local authorities for office operations, including timely renewal of trade licences, shop act registrations, establishment permits, and other statutory requirements.
- Maintain organised records of all government registrations, licences, and regulatory correspondences; ensure compliance with local municipal requirements and support audit readiness at all times.
