Job Description
OVERVIEW:
The Operations Manager is appointed by and reports to the Business Manager. The Operations Manager has the responsibility of promoting operational effectiveness under the direction of the Business Manager for all the non-educational aspects of the school’s operations. Key functions such as Finance & Accounts, Purchase, Stores, Front Office, Transport, Cafeteria and Housing & Facilities departments report directly to the Operations Manager.
EXPECTATIONS:
● It is expected that the Operations Manager will:
● Demonstrate an explicit commitment to the philosophy, mission and vision of the school as determined by the Business Manager and Senior Management Team.
● Be aligned with and promote the school’s vision, mission, identity, and core values.
● Keep abreast of the competencies and skills required of the position.
● Communicate effectively with all school constituencies as appropriate.
● Maintain an effective working relationship with colleagues, Co‐ordinators, Senior Management Team (SMT), Heads of Departments and the Educational Leadership Team (ELT).
● Be familiar with the operational practices and expectations of the school.
● Adhere to the school policies and guidelines.
● Attend all the meetings as per the requirement of the Head of School, Business Manager and Educational Leadership Team.
DUTIES AND RESPONSIBILITIES:
● Prepare and revise as necessary Standard Operating Procedures for each aspect of the school’s non‐educational operations.
● Working closely with the Business Manager to manage and appraise Staff working in the Accounts, Purchase, Transport, Housing & Facilities, Cafeteria, Security and any department which have outsourced staff and third party intervention.
● In consultation with the Business Manager and HR Manager, prepare and revise as necessary job descriptions for administrative staff.
● Liaise closely with and extend every cooperation to the internal and external auditors as necessary.
Purchase:
● Work closely with the Purchase Manager on contract negotiations to ensure that the school gets the best value for money
● Oversee, manage and maintain the school’s purchasing system
● Ensure that all purchases comply with company policies and legal regulations
Facilities & Property Management:
● Responsible for effective command over all services staff such as housekeeping, technical, security, pest control and landscaping etc. in the school campus
● Oversee employee relations with all faculty, support staff and vendors Improving operational efficiencies through standardization and automation and other Technical services
● Responsible for ensuring that the school’s premises comply with Health & Safety regulations, best practice, to include assessment and management of risk.
● Responsible and oversee timely renewal of all the compliance.
Finance:
● Prepare clear organization wide annual budgets by focusing on Zero based budgeting, in consultation with the Business Manager.
● Business Intelligence to benchmark various aspects of school operations with other equivalent schools and provide statistical data to support proposals
● Proactively support School Development team with intelligence report
● Oversee internal & statutory audit process and report closure by maintaining it on a tracker
● Drive process improvements through SOP formulation and policy enforcement across departments.
● Oversee, manage and maintain the school’s payroll, invoicing, purchasing, inventory system
● Monitor and control cash management and investments to ensure optimal use of school funds in accordance with Governing Council policies.
● Monthly, Quarterly and Annual MIS reports
● Short term and long term financial planning
Cafeteria:




● Responsible for the overall efficiency and effectiveness of the Cafeteria facility
● Develop and implement strategies to control costs, reduce waste, and increase profitability
● Implement health, safety, and sanitation protocols to ensure a safe environment for Cafeteria Staff and Employee
● Ensure the cafeteria complies with health and safety regulations, including food safety standards
Security:
● Identify, analyze, and mitigate potential security threats or risks to the organization
● Work with external agencies such as law enforcement and emergency services when necessary
● Respond promptly to security incidents, investigate breaches or violations, and provide detailed reports to mitigate risks in the future
● Implement effective incident management processes to minimize impact on the school
Communication with School Community:
● Represent the Business Manager in attending meetings as required
● Maintain contact with all appropriate members of the school community, viz., Principals, Coordinators, Faculty and Parents.
RequirementsDESIRED CANDIDATE PROFILE:

- Bachelor’s degree or above with at least 12 years’ working experience in Operations Management, among which at least 7 years’ in taking on a Managerial role

- You have good experience, knowledge and skills to navigate and work on the SAP tool

- You are a hardworking and committed individual with an exceptional drive to add value to every aspect of the school’s operational work. Prior experience in the Education sector preferred.

- You demonstrate strong people management skills, preferably in a school setting and will be a highly organized and efficient individual.

- You will be adept at working to deadlines under pressure, managing conflicting priorities; you will display a calm and measured approach which gives confidence to others.

- You will be an excellent problem solver with exceptional attention to detail and strong planning and negotiation skills

- Comfortable working in a multicultural environment and maintaining utmost confidentiality are mandatory.

- You are proficient in regional languages to handle and manage local bodies and authorities as and when required

- Excellent communication skills – written and spoken and are able to interact with different stakeholders of the school.
