This role is a key support position for the company working as the ‘right-hand’ to the Director and acts as an ambassador of the organization and must exemplify our company culture.
Duties and Responsibilities
- Maintaining calendars – arranging, coordinating and prioritize complex scheduling and logistics.
- Providing telephone coverage – answering executive phones, taking accurate messages, knowing executive’s where abouts at all times, handling urgent calls with appropriate judgment.
- Arranging (includes selection of date, time, and location) internal and external meetings & noting down the minutes of the meetings (internal meetings typically require extensive coordination).
- Conducting extensive online and off-line research as requested.
- Composing and typing agendas and correspondence for special events, board meetings, committee meetings and development activities.
- Responsible for handling all travel arrangements (domestic and international) including hotel accommodations, airline reservations, Visa documentation, issuance of Passports rental cars,
off-site meeting venues.
- Arranging special meeting facilities (e.g. food, PC projector, etc.); sending meeting confirmation emails; preparing and distributing meeting materials.
- Preparing various materials when requested, using PowerPoint, Word, and Excel.
- Handling special projects for the Director.
- Managing internal communications, including social media.
- Undertaking occasional receptionist duties.
- Sending occasional wishes to the clients.
- Maintaining Integrity and Professionalism.
