Job description
Role summary
The Technical Product Owner – CRM Data Change & Security Governance will own the governance and delivery coordination of platform-impacting data changes focusing on Dynamics 365. This role will ensure that business realignments and other data updates are managed through a consistent, repeatable, and well-documented process. To be successful in this role, you will be able to manage the process for Dynamics 365 CRM and work cross-collaboratively with all the upstream and downstream systems to understand the implications of the data changes across the organization.
The role will act as the central connector between business stakeholders, global and regional operations admins, platform owners, solution architects, engineering teams, data owners, security/identity teams, QA, and leadership. It will translate business and data-change needs into transparent impact assessments, prioritised roadmap items, epics, features, user stories, process documentation, and leadership updates.
Key responsibilities
1. Data change intake and governance
• Collaborate with teams across the business to identify when requested data changes impact the CRM platform and Dataverse-powered tools.
• Track the requests and develop a standard intake process that involves adding the changes to roadmap to plan when changes occur.
• Create a repeatable governance process so that global and regional changes follow a consistent intake, review, prioritisation, delivery, and communication model.
2. Product ownership and backlog management
• Convert approved data-change requests into epics, features, user stories, acceptance criteria, dependencies, and delivery notes where engineering work is required.
• Partner with the platform owner to prioritise work based on business impact, urgency, risk, technical complexity, regional dependencies, and delivery capacity.
• Maintain a roadmap of upcoming and in-flight data-change initiatives, including status, risks, owners, milestones, and decision points.
3. Cross-functional coordination
• Participate in and organise meetings related to data changes, platform impacts, security changes, migration readiness, and release planning.
• Coordinate with platform owners, solution architects, development leads, global ops admins, regional ops admins, data owners, integration teams, QA, and business stakeholders.
• Ensure regional needs are understood while maintaining a global platform governance lens.
4. Data, integration, and system impact analysis
• Assess how data changes affect Dynamics 365, Power Platform, Power Automate, Dataverse, security roles, business units, account ownership, user provisioning, reporting,
and integrations.
• Partner with architects and integration leads to identify downstream impacts on connected systems.
• Document data flows, dependencies, business rules, integration assumptions, and validation needs.
• Ensure change requests consider data quality, reconciliation, ownership, security, and reporting implications.
5. Security governance
• Support governance of CRM security enhancements, security role clean-up, business unit structure alignment, user provisioning, and access model scalability.
• Partner with identity, Workday, platform admin, and security teams to identify gaps in user provisioning, role assignment, and access automation.
• Maintain oversight of how BU structure in CRM aligns with business structure, reporting needs, and operating model changes.
6. Process documentation and repeatability
• Create and maintain standard operating procedures, playbooks, templates, decision logs, intake forms, dependency checklists, and approval workflows for data changes to empower global teams to repeat processes.
7. Leadership reporting and communication
• Participate in stakeholder calls to report on status of the data changes, upcoming changes, and backlog of requested changes.
Required skills and experience
Functional and product skills
• Strong product ownership experience in enterprise platforms, preferably Dynamics 365 CRM or Microsoft Business Applications.
• Experience translating business change needs into epics, features, user stories, acceptance criteria, and delivery roadmaps.
• Strong understanding of agile delivery, backlog prioritisation, sprint planning, UAT, release readiness, and stakeholder communication.
• Ability to operate as a connector between business, operations, engineering, architecture, security, data, and integration teams.
Platform and technical skills
• Working knowledge of Microsoft Dynamics 365 Customer Engagement (Sales, Field Service), Power Platform, Dataverse, Power Automate, model-driven apps, and CRM security concepts.
• Understanding of CRM data structures such as accounts, users, business units, roles, territories, ownership, hierarchy, and reporting impacts.
• Familiarity with enterprise integrations involving SAP, MuleSoft, Snowflake, MDM, CDM, Workday,
Azure Data Factory, and related integration patterns.
• Ability to understand data migration, data quality, reconciliation, master data, and downstream system impacts.
• Comfortable working with architects and engineering teams on technical feasibility, dependency mapping, and impact assessment.
Governance and communication skills
• Strong written and verbal communication skills with the ability to produce leadership-ready status updates.
• Ability to create repeatable processes, governance models, playbooks, and operational documentation.
• Strong facilitation skills to run working sessions across global and regional teams.
• Ability to manage ambiguity, clarify ownership, and drive decisions across multiple stakeholder groups.
Preferred experience
• Experience with Dynamics 365 Sales, Field Service, Customer Service, or custom model-driven apps.
• Experience with CRM security role design, business unit structure, user provisioning, and access governance.
• Experience working in global/regional operating models where local teams execute changes under central governance.
• Experience with Azure DevOps work item management.
• Experience with data migration, SAP integration, master data processes, and CRM reporting.
• Experience supporting enterprise platform governance, release management, or product lifecycle management.

• Repeatable playbooks reduce rework and improve consistency across global and regional changes.
