To provide comprehensive secretarial, administrative, and coordination support to the Managing Director, ensuring effective management of schedules, meetings, correspondence, documents, and confidential information.
Key Responsibilities:
A. Secretarial & Administrative Support
- Manage the MD's daily calendar, appointments, meetings, and schedules.
- Coordinate internal and external meetings on behalf of the MD.
- Prepare and organize documents, reports, presentations, and correspondence.
- Maintain proper filing and documentation of important records.
- Handle incoming and outgoing correspondence, emails, and communications.
- Prepare meeting agendas, minutes, and follow-up action points when required.
B. Communication & Coordination
- Act as a communication link between the MD and various departments.
- Coordinate with department heads, senior management, customers, suppliers, and other stakeholders as instructed by the MD.
- Follow up with concerned departments on matters assigned by the MD.
- Ensure timely communication of instructions and decisions.
C. Meeting & Travel Management
- Schedule and coordinate meetings, conferences, and appointments.
- Make necessary arrangements for visitors and business meetings.
- Coordinate travel arrangements, accommodation, transportation, and itineraries for the MD.
- Maintain records of travel schedules and related documents.
D. Confidentiality & Records
- Maintain strict confidentiality of all information, documents, discussions, and decisions handled by the MD's office.
- Maintain organized records of important correspondence, agreements, reports, and other documents.
- Ensure sensitive documents are securely maintained and shared only with authorized persons.
E. Follow-up & Reporting
- Track significant commitments and follow-up points arising from meetings.
- Remind the MD about scheduled meetings, appointments, deadlines, and important activities.
- Obtain status updates from concerned departments on matters assigned by the MD.
- Prepare periodic status reports or summaries as required.
F. Office & Visitor Management
- Manage visitors and appointments with the MD.
- Coordinate with Administration for arrangements related to important visitors and meetings.
- Maintain a professional and organized environment in the MD's office.
Education:
- Bachelor's Degree in any discipline.
Experience:
- 1–2 years of experience in a Secretarial, Executive Assistant, Administrative, or similar support role.
Pay: ₹15,000.00 - ₹20,000.00 per month
