Job Summary
The Export Documentation Executive will be responsible for preparing, verifying, and managing all export customs documentation to ensure smooth customs clearance and timely processing of export consignments. The role involves coordinating with exporters, customs authorities, port officials, shipping lines, and internal operations teams while ensuring compliance with Customs Act, DGFT regulations, and other statutory requirements. The incumbent will also be responsible for preparing and managing billing related to CHA services.
Key ResponsibilitiesExport Documentation
- Prepare and process export documentation including Shipping Bills, Commercial Invoices, Packing Lists, Certificates of Origin, LUT/Bond documents, and other customs-related documents.
- Verify export documents received from clients for accuracy and completeness before customs filing.
- File Shipping Bills and related export documents through the ICEGATE portal.
- Coordinate with Customs officials for assessment, examination, Let Export Order (LEO), and customs clearance.
- Liaise with port authorities, CFS/ICD officials, shipping lines, and other statutory authorities for smooth customs clearance.
- Ensure compliance with Customs Act, DGFT regulations, FTP provisions, and other applicable export regulations.
- Resolve documentation discrepancies and customs queries by coordinating with customers and customs authorities.
- Track export clearance status and provide timely updates to customers.
- Maintain complete records of export documents for statutory compliance, audits, and future reference.
- Coordinate with internal operations teams for timely customs documentation and clearance.
- Stay updated on changes in customs notifications, DGFT circulars, and export procedures.
Billing & Documentation Charges
- Prepare invoices for CHA services,
documentation charges, customs clearance charges, and other applicable service charges.
- Ensure timely submission of invoices to customers.
- Coordinate with the Accounts Department for payment follow-up and reconciliation.
- Verify vendor invoices related to customs clearance activities before processing.
- Maintain billing records for audit and statutory compliance.
Required Qualifications
- Graduate in Commerce, Business Administration, Logistics, Supply Chain Management, or any related discipline.
- Certification in Customs Procedures, International Trade, or Export-Import Management will be an added advantage.
Required Experience
- 2–4 years of experience in Export Documentation with a Customs House Agent (CHA).
- Hands-on experience in ICEGATE filing, Shipping Bill processing, customs documentation, and export customs clearance.
- Experience in CHA billing and documentation processes.
Required Skills
- Strong knowledge of export customs documentation and customs clearance procedures.
- Thorough understanding of ICEGATE, DGFT, Customs Act, FTP, and export regulations.
- Proficiency in MS Excel, MS Office, and email communication.
- Knowledge of Shipping Bills, Commercial Invoices, Packing Lists, Certificates of Origin, LUT/Bond procedures, and customs documentation.
- Excellent coordination and communication skills.
- Ability to manage multiple export shipments within strict timelines.
- High attention to detail and documentation accuracy.
- Solid problem-solving and customer-handling skills.
Pay: ₹15,000.00 - ₹30,000.00 per month
