Job Title: Executive Assistant Location: Delhi, Okhla Phase-3 Job Overview: We are looking for a highly organized, proactive, and resilient Executive & Personal Assistant to support the Executive Director (ED) – Growth & Strategy. This role is critical in enabling efficient operations, supporting strategic initiatives, and ensuring seamless coordination across internal and external stakeholders in a fast-paced environment. Key Responsibilities: Strategic Administrative & Calendar Management • Precision Scheduling: Manage and optimize the ED’s calendar, ensuring efficient time utilization with zero scheduling conflicts. • Meeting Excellence: Coordinate board meetings and high-level stakeholder engagements, including agenda preparation, minute-taking, and follow-up tracking. • Task Prioritization: Align the ED’s daily schedule and tasks with departmental priorities, particularly Sales targets and New Market Initiatives. Communication & Stakeholder Coordination • Professional Liaison: Act as the primary point of contact between the ED and key stakeholders, ensuring timely acknowledgment and responses within 24 hours. • Correspondence Management: Draft, review, and manage professional communications, reports, and presentations for internal and external audiences. • Confidentiality: Maintain strict confidentiality while handling sensitive business and personal information. External Relationship & Travel Management • Relationship Support:
Assist in building and sustaining strong relationships with industry leaders and strategic partners. • Travel Logistics: Manage end-to-end domestic and international travel arrangements, including itineraries, visas, and local transportation. • On-Site Support: Accompany the ED on business trips as required, ensuring smooth coordination, networking facilitation, and logistical support. Operational Agility & Availability • High Responsiveness: Provide support in a dynamic environment with flexibility for extended hours and occasional travel based on business needs. • Resilience: Demonstrate composure under pressure, adaptability to shifting priorities, and responsiveness to direct feedback. Requirements • Experience: Proven experience as an Executive Assistant or Personal Assistant, preferably in renewable energy, infrastructure, or related sectors. • Attributes: Highly organized, presentable, and professional with strong interpersonal skills. • Communication: Excellent verbal and written communication skills in English, with the ability to distill complex information into clear executive summaries. • Technical Skills: Advanced proficiency in Microsoft Office Suite and modern digital collaboration tools. • Structured Thinking: Ability to convert quick-paced instructions into clear, actionable outcomes. • Independence: Strong ability to work with minimal supervision and make sound decisions. • Curiosity & Learning Agility: Proactive approach to learning and staying updated on developments in the Indian energy sector.
