Role Overview The Visa Manager will lead the end-to-end visa process for students, faculty, and staff traveling internationally. The role requires robust operational excellence, stakeholder management, documentation expertise, and the ability to manage multiple country-specific visa requirements while ensuring a best-in-class student experience. Key Responsibilities
Manage the complete visa lifecycle for outbound students across multiple countries.
Review, verify, and maintain visa documentation with a high degree of accuracy.
Stay updated on immigration regulations, embassy guidelines, and changing visa policies.
Coordinate directly with embassies, consulates, VFS centers, visa agencies, and travel partners.
Guide students through documentation, appointment scheduling, biometrics, interviews, and submission processes.
Conduct visa information sessions and create detailed documentation guides for students.
Track visa applications and proactively communicate status updates.
Handle escalations and resolve visa-related issues within defined timelines.
Maintain accurate records, dashboards, trackers, and compliance reports.
Collaborate with Admissions, Student Experience, International Programs, Legal, Finance, and Operations teams.
Identify opportunities to automate and improve visa operations and documentation processes.
Ensure compliance with data privacy and document security standards. Requirements
Bachelor's degree in any discipline (Master's preferred).
4–7 years of experience in visa processing, immigration services, international education, travel operations, or global mobility.
Experience handling visas for countries such as the USA, UK, Canada, Schengen, UAE, Singapore, Australia, and other major study destinations.
Strong understanding of embassy procedures and documentation requirements.
Exceptional attention to detail and documentation skills.
Excellent communication and stakeholder management abilities.
Ability to manage large volumes of applications within tight deadlines.
Advanced proficiency in Microsoft Excel and Google Sheets.
Experience working with CRM or visa management platforms is preferred.

Prior experience managing student visa operations at scale.
