: Senior Accounts Payable Analyst

US Accounting Operations | India | IST Night Shift | Full-Time About ARDEM ARDEM is a managed operations partner that takes ownership of business processes for clients across the United States. Our teams are expected to understand the work, control the process, communicate proactively, and continuously strengthen the client experience.

About the Role ARDEM is hiring a Senior Accounts Payable who can independently manage a small-to-midsized US accounts payable process after a structured client transition. This is not a basic invoice-entry role. The analyst is expected to apply sound accounting fundamentals, make thoughtful decisions, identify and resolve exceptions, communicate directly with client stakeholders and vendors, and create confidence that ARDEM has the process handled.

Most ARDEM accounts payable engagements are supported by a small team. The successful candidate must therefore be dependable, self-directed, accurate, responsive, and capable of owning day-to-day AP operations without requiring constant instruction from the client or Project Owner.

Core Responsibilities

Manage the end-to-end accounts payable workflow/cycle from invoice receipt through coding, approval routing, payment preparation, posting, and record maintenance, based on the assigned client scope.

Experience in AP transition projects

Hands-on experience in AP mailbox management, invoice processing & T&E;

Strong working knowledge of the Ramp tool (mandatory)

Review invoices for accuracy, completeness, duplicates, correct vendor, entity, general ledger account, department, class, location, project, tax treatment, and required supporting documentation. Apply client policies, approval authorities, accounting rules,



and documented process knowledge when handling routine and non-routine transactions.

Monitor shared inboxes, workflow queues, approvals, aging, due dates, payment status, unresolved items, and backlog to ensure nothing is missed.

Research discrepancies and exceptions independently using available records, system history, process documentation, and prior transactions before requesting client input.

Communicate directly with client stakeholders, approvers, employees, and vendors regarding missing information, exceptions, payment status, and required actions.

Prepare clear, concise escalations that explain the issue, work already completed, business impact, and recommended resolution.

Support vendor onboarding and master-data maintenance while following controls for sensitive changes, including banking and payment information.

Perform or support statement reconciliation, account reconciliation, payment reconciliation, expense review, accrual support, reporting, and month-end activities as required by the engagement.

Maintain accurate trackers, audit trails, process notes, work instructions, and supporting documentation.

Identify recurring issues, control gaps, and improvement opportunities; recommend practical changes instead of repeatedly applying temporary fixes.

Participate in cross-training and maintain readiness to support continuity and backup coverage.

Required Qualifications Bachelor of Commerce (B.Com) or equivalent degree in accounting, finance, or commerce.

At least 4 years of hands-on accounts payable experience, preferably supporting USbased businesses, shared services, managed services, or BPO/BPM operations.

Solid accounting fundamentals, including debits and credits, general ledger coding, expense classification, accrual concepts, vendor balances, and reconciliations.

Demonstrated experience independently managing an AP process or a clearly defined portion of an AP function. Strong judgment in identifying duplicates, unusual transactions, missing approvals, incorrect coding,



entity issues, vendor-master risks, and other exceptions.

Professional written and spoken English suitable for direct client and vendor communication.

Ability to prioritize, organize work, meet deadlines, and maintain accuracy with limited day-to-day supervision.

Prior experience working an IST night shift aligned with US business hours, or a demonstrated ability and commitment to do so reliably.

Working knowledge of at least one major accounting or ERP platform and one AP/workflow platform.

Good to Have: Reporting & PPT presentation skills, Sales Tax Exemption Certificate maintenance knowledge Preferred Qualifications Experience with Ramp tool/platform.

Experience in multi-entity, multi-location, high-volume, or approval-intensive environments.

Exposure to month-end close support, reconciliations, 1099 preparation, employee expenses, purchase-order matching, or vendor statement reconciliation.

M.Com, MBA Finance, CA Inter, CMA Inter, or another relevant accounting qualification.

Think before escalating: Use the information, documentation, and accounting knowledge available to you. Ask the client only when a decision genuinely requires client authority or missing business context.

Bring a recommendation: When an exception must be escalated, explain what you found and what you believe should happen next.

Communicate early: Surface risks before they affect deadlines, payments, reporting, or the client experience.

Protect accuracy: Speed does not replace control. Review your work and follow required validation steps.

Act professionally: Every email, meeting, tracker, and deliverable should reinforce that ARDEM is dependable and in control Remote Requirements
