We are seeking a proactive Healthcare Operations & Process Automation Specialist to join our team. This remote role combines hands-on operational execution with process optimization—ideal for someone who enjoys running daily workflows while actively using technology (RPA, Python, and AI tools) to streamline and automate repetitive tasks over time.
Working closely with the Operations Manager, you will keep daily clinic workflows running smoothly, monitor active automations, and identify new opportunities to eliminate manual effort across clinics, EMR systems, and internal platforms.
Key Responsibilities 1. Operations & Execution
Daily Workflow Management: Run and monitor essential operational processes, including patient scheduling data, recurring clinic report uploads, reminder communications, and template-based correspondence.
Cross-Functional Coordination: Collaborate with clinic teams and internal stakeholders to clarify process requirements, gather operational details, and resolve pending items.
Data Integrity & Compliance: Maintain strict compliance with HIPAA/PHI regulations when handling patient data,
following defined audit and quality checkpoint processes.
- Automation & System Monitoring
Exception Handling: Monitor existing UiPath automations and SFTP-based upload pipelines, proactively identifying, troubleshooting, and resolving execution exceptions.
Process Analysis: Evaluate day-to-day tasks to distinguish between fully rule-based processes (prime candidates for RPA/scripting) and tasks requiring human judgment (suited for a human-in-the-loop workflow).
Automation Co-Building: Partner with the Operations Manager to design, test, and validate new automations using tools like UiPath, lightweight Python scripting, and web portals.
- AI Integration & Productivity
Leverage GenAI Tools: Use tools like ChatGPT, Claude, or similar AI assistants to accelerate daily operations—such as drafting clinic/patient communications, structuring unformatted data, generating light scripts, and prototyping automation logic.
What We’re Looking For Required Qualifications: Operations Background: Experience in healthcare operations, medical office administration, or operational data support (EMR system familiarity is highly preferred).
Tech-Forward Mindset: Strong interest in using AI, automation,
and tech platforms to work smarter, even without a formal computer science degree.
Basic Automation Literacy: Familiarity with RPA concepts (UiPath preferred) or basic scripting literacy (Python) with an eagerness to learn.
Attention to Detail: Proven track record of high accuracy when handling sensitive patient data (PHI), patient mailings, and clinic-facing communications.
Core Tool Proficiency: Strong working knowledge of Microsoft Excel, Outlook, mail-merge tools, and web-based portals.
Communication Skills: Clear, professional written communication skills for drafting clinic correspondence, SMS templates, and internal updates.
Self-Starter Attitude: Natural tendency to spot inefficiencies, ask questions, and suggest workflow improvements. Nice to Have:
Experience or exposure to Remote Patient Monitoring (RPM) or Chronic Care Management (CCM) programs.
Familiarity with automated data transfer pipelines (SFTP, API-based transfers) or basic database tools.
Practical knowledge of HIPAA and PHI compliance frameworks.
