The Project Lease Analyst is responsible for tracking a portfolio of sites selected for company remodeling projects. They will ensure compliance with lease agreements and establish communication channels among the Project Manager, Construction, and Property Managers.
Key Responsibilities
- Project Initiation & Lease Review: Review and accept projects after Store/Project identification and approval by the Town Planning team.
- Query applicable lease data from the lease abstraction database.
- Analyze lease provisions to determine project requirements and constraints.
- Alterations consent requirements.
- Roof responsibility provisions.
- HVAC responsibility provisions.
- Parking lot maintenance and repair obligations.
- Identify and escalate lease-related concerns that could impact project scope, timing, or staging requirements.
- Landlord Information Verification: Verify landlord ownership and contact information.
- Validate landlord ownership against County Appraisal District (CAD) ownership records.
- Request and obtain Articles of Formation or other organizational documents based on entity type.
- Construction Document Review & Coordination: Gather and organize construction documentation necessary for landlord reviews and approvals.
- Evaluate project scope to determine whether work constitutes structural modifications requiring landlord consent.
- Track consent status and follow up to ensure timely execution.
- Upload executed Landlord Consent Letters and supporting documentation into REPS.
- Coordinate with the Project Coordination team to ensure documentation is properly submitted for 7Reports.
- Maintain accurate project records and document repositories.
- Ensure required ownership and authorization documentation is complete and submitted in accordance with applicable regulations and project requirements.
Qualifications
- Education: Bachelor's 4-year degree; equivalent Real Estate or project management experience or certifications will be considered
- Experience: 3-5 years with retail or other commercial properties or large-scale projects
- Strong attention to detail and excellent communication skills, both written and verbal
- Proficient with Excel, SQL, and database tools
- Solid working knowledge of commercial leases, lease provisions, other legal RE documents, and property owner/tenant rights and responsibilities
- Effectively manage large volumes of correspondence received through phone, mail, and e-mail
- Experience working with commercial real estate, construction, lease administration, or project management environments preferred.
