Position Overview
The Marketing Operations & Financial Administrator is responsible for the financial management, controls and administrative oversight of the Marketing departments annual budget. This role ensures disciplined purchase order management, vendor governance, invoice processing, spend transparency, and accurate financial classification across the enterprise.
This position plays a critical role in maintaining fiscal integrity, strengthening internal controls, and providing visibility into marketing expenditures company-wide.
Key Responsibilities
Financial & Budget Administration
- Create, manage, and track all Marketing department purchase orders in accordance with the annual budget
- Monitor budget allocation, commitments, and remaining balances
- Ensure compliance with internal financial policies and approval workflows
Vendor & Invoice Management
- Maintain and manage the centralized marketing vendor database
- Receive, review, and process incoming invoices for accuracy and proper coding
- Partner with Accounts Payable to ensure timely payment and issue resolution
- Support vendor onboarding and documentation management
Credit Card & Transaction Oversight
- Reconcile all corporate credit card activity related to Marketing
- Validate spend against approved budgets and POs
- Investigate discrepancies and ensure proper documentation
Enterprise Spend Visibility & Classification
- Investigate marketing-related transactions across the company that are unclear or improperly coded
- Collaborate with non-marketing departments to determine appropriate cost classification
- Reclassify expenses when necessary to ensure accurate reporting
- Support efforts to improve company-wide marketing spend transparency
Reporting & Process Improvement
- Generate monthly and quarterly spend reports
- Identify trends, anomalies, and opportunities for improved controls
- Recommend process enhancements to strengthen financial governance within Marketing
Qualifications Required
- Minimum of 5 years of experience in financial administration, process administration, executive staff support, or related operational finance roles
- Strong understanding of purchase order systems, invoice processing, and expense reconciliation
- Demonstrated experience managing budgets and vendor relationships
- High attention to detail and robust analytical skills
- Ability to work cross-functionally and influence without direct authority
- Strong English communication skills (written and verbal) are a must
