A Front Office Executive is responsible for managing the reception area and creating a positive first impression for visitors and clients.
Common responsibilities include: Greeting and welcoming visitors in a skilled and friendly manner. Answering, screening, and directing incoming phone calls. Managing the reception desk and maintaining a clean, organized front office.
Handling incoming and outgoing mail, courier services, and deliveries. Scheduling appointments, meetings, and maintaining calendars. Assisting visitors by providing accurate information and directing them to the appropriate department.
Maintaining visitor logs and issuing visitor passes when required. Performing administrative tasks such as filing, data entry, photocopying, and scanning documents. Coordinating with different departments to ensure smooth office operations.
Managing office supplies and placing orders when necessary. Receiving and forwarding emails and other communications to the appropriate personnel.
Maintaining confidentiality of sensitive company information.
Supporting HR or administration with onboarding, travel arrangements, or event coordination, if required. Handling customer inquiries and resolving basic complaints professionally. Ensuring compliance with company policies, safety, and security procedures.
