IT Project Coordinator

We're looking for an IT Project Coordinator to support delivery of client IT projects, working closely with our Project Management team. The ideal candidate has experience juggling multiple, concurrent technical projects across different clients, and is comfortable acting as a point of contact between engineers, management, vendors, and clients to keep projects on scope, on schedule, and on budget.

Responsibilities

- Assist in creating project proposals, including objectives, scope, and high-level timelines, in partnership with the Project Manager.
- Develop detailed project plans and break projects into clear, actionable tasks with defined timeframes.
- Coordinate internal resources, third parties, and vendors to keep each project phase — requirements gathering, scoping, development, QA, and go-live — moving on schedule.
- Liaise directly with clients to identify and define requirements, scope, and objectives, and ensure client needs are met as projects evolve.
- Assign tasks to internal teams, assist with schedule management, and monitor project progress across multiple simultaneous client engagements.
- Track and help manage changes to project scope, schedule, and cost; flag deviations early.
- Analyze risks and opportunities, and work with the Project Manager to mitigate and escalate risks as needed.
- Conduct or support daily and weekly stakeholder calls, and act as the point of contact for project status across all participants (clients, engineers, management).
- Create and maintain comprehensive project documentation, plans, and status reports.




- Support quality assurance checks to confirm deliverables meet standards and requirements before go-live.
- Measure project performance using appropriate systems, tools, and techniques; report outcomes and risks to the Project Manager, escalating as necessary.
- Act as a communication bridge between internal teams and external resources (clients, vendors, subcontractors).

Required Skills & Qualifications

- Bachelor's degree in business, IT, or a related field.
- 2+ years of project coordination or project management experience, ideally in IT/managed services.
- Proven experience managing or supporting multiple, concurrent technical projects across different clients or stakeholders.
- Hands-on experience coordinating with clients, engineering teams, and vendors.
- Strong written, verbal, and presentation skills; comfortable communicating directly with clients.
- Robust organizational and time-management skills, with close attention to detail.
- Critical thinking and problem-solving ability; comfortable escalating issues appropriately.
- Working knowledge of project management software (e.g., Jira, Asana, MS Project, ConnectWise, or similar).
- Adaptability to work rotational or shifted hours to overlap with US Eastern Time business hours.
- Preferred certifications: PMP, CAPM, PRINCE2, PMI-ACP, CSM, ITIL, or Project+.

Job Details

- Full-time, remote/offshore position supporting a US-based Managed IT Services team.
- Working hours will overlap significantly with 9:00 am–6:00 pm Eastern Time (exact shift to be confirmed).
