Co-ordinate the execution of Medical Projects

- NPME/GIM Co-ordination Successfully help to coordinate various internal and external

seminar/workshops. Critical follow up of Veeva & SAP proceduresto ensure compliance and

effective implementation.

- Scientific projects (MISP, LDG): Support vendor transaction processes, including raising

purchase orders, processing invoices, and coordinating with internal stakeholders to ensure

timely and compliant completion of procurement and payment activities.

- Facilitate the conduct of medically led meetings as per the country requirements.
- Track activities, issues, actions and follow up for closure and escalate delays.
- Assist medical affairs team by establishing liaison with Finance and ensure payments are made in

timely manner. Process payments through PRH in Veeva & PPR in COMET.

- Oversee Smooth conduct of contracts and documents.
- Update the GMSA Dashboard
- Track all activities of the V&I; GMSA India team against planned timelines including maintaining

trackers, metrics.

- Prepare and update metrics for all the GMSA activities.
- Prepare monthly Performance reports for the update of the Impact reports in regional and globally.

Budget and Audit

- Track the budget and keep the team updated on monthly basis on the actual, and travel expenses.
- Quarterly update the forecast sheet for the region
- Timely submission of provision to the local finance




- Track the closure of all purchase ordersso that actuals are reflected on GMSA Dashboard
- Audit reconciling all the events on basis of actuals in Veeva and Comet

Team Support and Co-ordination

- Provide support to the medical team for day-to-day activities.
- Co-ordinate all domestic and international travel arrangementsfor CMD.
- Maintain most updated Organization charts, coordinate for recent joinee announcement and maintain

documentation for team trainings/team meetings.

- Co-ordinate and facilitate expense reimbursement for CMD in addition to maintaining the team’s

expense tracker and timely processing the invoices.

Scheduling and coordinating orientation, induction and training programsfor the new joining.

members in the team.

- Facilitating the other functional departments to complete the joining formalities for new

joinee i.e. laptop, access card, space allocation etc.

- Make practical and effective recommendationsto prioritize issues and opportunities, bring

appropriate resources, best practices and expertise to the medical team.

- Vendor management and onboarding – identify, evaluate, finalize and partner with cost

effective vendor in execution of activities. Support vendor creation for both PO and non-PO

vendors; raise purchase orders, process invoices, and track vendor deliverables and timelines to

ensure timely and compliant vendor on-boarding and business continuity.
