About The Role
We are seeking a highly organised and proactive Executive Assistant (EA) to support our executive team. This role requires exceptional organisational skills, professionalism, and the ability to handle multiple priorities in a fast-paced environment. As the EA, you will be the right hand to our top executives, managing their busy schedules, coordinating travel, and serving as the primary point of contact for internal and external stakeholders.
Key Responsibilities
- Administrative Support
- Provide high-level administrative support, including managing their day-to-day activities and ensuring smooth operations within the executive office.
- Handle confidential information with discretion and professionalism, ensuring privacy and data security.
- Calendar &
- Meeting Management
- Oversee extensive calendar management, including scheduling, rescheduling, and prioritising meetings based on business needs.
- Coordinate and prepare agendas for executive meetings, briefings, and conferences, ensuring CXOs are well-prepared for each engagement.
- Proactively address scheduling conflicts and prioritise tasks to optimise executives time.
- Stakeholder Coordination
- Serve as a primary point of contact for internal and external stakeholders, ensuring smooth communication and timely follow-up on action items.
- Build and maintain solid relationships with key stakeholders, understanding their requirements to support effective collaboration with the CXOs.
- Travel Management
- Coordinate domestic and international travel arrangements, including flight bookings, hotel accommodations, ground transportation, and itinerary planning for the CXO team.
- Prepare detailed travel agendas, manage any travel-related changes, and ensure seamless logistics for business trips.
- Communication &
- Document Management
- Draft, proofread, and edit documents, emails, and presentations for the CXO team, ensuring accuracy and clarity.
- Organise and maintain files, records, and documents for easy access and retrieval, including both digital and physical records.
Skills &
- Qualifications
- Experience: Minimum of 5 years of experience as an Executive Assistant, preferably supporting senior executives in a corporate environment.
- Education: Bachelor's degree in Business Administration, Communications, or a related field.
- Calendar &
- Travel Management: Demonstrated experience managing complex calendars and coordinating extensive travel itineraries for multiple executives.
- Communication Skills: Exceptional written and verbal communication skills, with a professional demeanour and the ability to interact effectively with stakeholders at all levels.
- Organisational Skills: Strong attention to detail, with the ability to manage multiple tasks and priorities simultaneously.
- Technical Proficiency: Proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word) and familiarity with calendar and travel management software.
- Interpersonal Skills: Ability to build relationships, understand stakeholder needs, and maintain confidentiality at all times.
