The Project Administrator (PA) is responsible for providing administrative, documentation, and order
management support for valve supply projects. The role involves coordinating with vendors, customers,
logistics providers, and internal departments to ensure timely execution of sales orders. The PA will
maintain project records, monitor supplier progress, review technical documentation, manage ERP
transactions, and support project reporting activities throughout the order lifecycle.
The ideal candidate will have prior experience in the valve industry and possess strong knowledge of
end-to-end order execution processes, technical documentation, stakeholder coordination, and project
administration.
TECHNICAL SKILLS
Strong understanding of valve manufacturing and order execution processes.
Experience reviewing Material Test Reports (MTRs), quality documents, and manufacturing records.
Knowledge of project documentation and document control procedures.
Experience working with ERP systems (SAP, Oracle, Microsoft Dynamics, or similar).
Excellent stakeholder management and communication skills.
Strong organizational and multitasking abilities.
Proficiency in Microsoft Excel, Word, and project reporting tools.
Ability to manage multiple projects and priorities simultaneously.
Attention to detail and commitment to accuracy.
KEY RESPONSIBILITIES
Project Documentation & Reporting - Obtain, monitor, and update vendor production schedules and
delivery commitments. - Maintain accurate project records and update weekly internal project status
reports.
- Prepare and distribute project progress reports to customers and internal stakeholders. - Track
document submission schedules and maintain document registers. - Ensure proper filing and archiving
of project-related documentation.
Technical Documentation Review - Review Material Test Reports (MTRs) and manufacturing
documentation against sales order requirements and project specifications. - Verify completeness and
compliance of supplier documentation before submission to customers. - Coordinate with vendors and
quality teams to resolve documentation discrepancies. - Support review and processing of inspection
reports, test certificates, and quality dossiers.
Order Management & ERP Administration - Process Goods Receipt Purchase Orders (GRPOs) in the ERP
system. - Coordinate delivery processing and shipment documentation within the ERP platform. -
Maintain accurate order execution data and transaction records. - Support purchase order tracking and
delivery follow-up activities.
Stakeholder Coordination - Liaise with vendors, customers, logistics providers, quality teams, and
internal departments. - Follow up with suppliers regarding production progress, documentation, and
delivery schedules. - Escalate schedule delays, documentation issues, and potential project risks to the
Project Manager.
- Support customer communication regarding project status and delivery updates.
Logistics Support - Organize transportation arrangements for small and low-complexity shipments. -
Coordinate dispatch documentation and shipment tracking activities. - Ensure timely communication
between suppliers, freight forwarders, and customers.
General Administration - Support Project Managers and Project Coordinators with administrative and
project-related activities. - Assist in preparing project reports, presentations, and data analysis.
Perform additional duties as required to support successful project execution.
QUALIFICATIONS & EXPERIENCE -
Education - Bachelor's Degree in Mechanical Engineering, Industrial Engineering, or a related discipline.
Experience - Minimum 3 -5 years of experience in project administration, order management, project
coordination, or execution within the valve industry. - Experience handling end-to-end order execution
for industrial valves, flow control equipment, or engineered products. - Familiarity with EPC, Oil & Gas,
LNG, Petrochemical, Power, or Industrial projects is preferred.
PREFERRED CANDIDATE PROFILE
Prior experience working with valve manufacturers, valve distributors, or flow control equipment
suppliers. - Solid understanding of technical valve documentation and customer specification
requirements. - Experience coordinating with suppliers, quality teams, logistics providers, and
customers throughout the order lifecycle. - Proven ability to support project execution from order
