Purpose/Objective

Buyer - HO manages the sourcing and purchase of specified spend categories, develops and sustains vendor relationships, and negotiates optimal price points.
Meets quality and timeline specifications within budgetary requirements.

Key Responsibilities of Role

Purchase Requisition (PR) Review: Assist in reviewing approved PRs from user departments.
Support in identifying the type and method of procurement based on the nature of material/services, PR type (normal vs.
emergency), available stocks, rate contracts, value, and delivery timelines.
Strategic Sourcing: Participate in the selection of the bidding process and preparation of vendor selection approach and evaluation criteria.
Prepare RFI and RFP documents, identify potential bidders, and organize pre-bid meetings.
Conduct technical and commercial bid evaluations, negotiations, and prepare Note for Approval (NFA) for selected vendors.
Contract Management: Prepare contract documents using standard protocols and templates and set up approved contract records within the ERP system.
Maintain contract documents for future reference, send contracts to vendors and stakeholders, and collect required bank guarantees and customs-related documents.
Prepare master outline agreements (OA) in the ERP system and create purchase orders (PO) for procurement under valid rate contracts.
Post Order Management : Prepare Change Order/ Amendments in the order including quantity/ Rate variation, Extra items, Time Extensions etc.
Facilitate closure of contracts and take necessary actions.
Manage inbound logistics services for other Ex-Works Domestic Supplies Execute contingency plans in case of immediate business requirements.
Supplier Management: Prepare and check vendor evaluation criteria and forms for completeness and validity.
Contribute to the preparation of vendor segmentation matrices and performance evaluation criteria.
Review vendor performance, communicate feedback,



and plan improvement actions as necessary.
Establish strategic partnerships with suppliers/vendors for long-term advantages and value additions to the business.
Documentation & Reporting: Assist in collation and analysis of data related to various procurement activities (e.
g.
commodity analysis, supplier debugging, etc.
) for respective categories.
Identify and seek opportunities to improve efficiency and value by analysing data.
Contribute to action planning and implementation based on data analytics performed for assigned categories.
Risk Management: Assist in identifying all procurement risks for assigned categories.
Provide support in evaluation and prioritization of the identified risks on their likelihood, impact and controllability .
Contribute to the preparation of risk mitigation plan.
Quality Assurance: Ensure that all procured materials and services meet the required quality standards and specifications.
Collaborate with the quality control team to address and resolve any quality-related issues with suppliers.
Digital Mindset: Keep up with digital and AI advancements to enhance business and maintain competitiveness.
Team Development: Promote a respectful and safe workplace, lead collaborative and productive teams, and mentor for growth and success.

Qualifications and Experience

Education Qualification: Bachelor's degree in engineering in any discipline Work Experience: More than 4 years of experience in supply chain management, procurement and related area.
