Accounts Payable Invoice Booking & Utility

Role & responsibilities

- Booking supplier invoices in the Oracle ERP system.
- Passing journal vouchers (JVs) in the system.
- Reconciling supplier statements of account (SOA).
- Following up with the payment team to ensure timely processing.
- Updating supplier bank details in the system after verification.
- Communicating with suppliers via call or email for operational matters like bank detail confirmation or revised invoice follow-ups, etc.
- Coordinating with internal departments such as procurement, stores, and unit accountants to seek clarity or resolve transactional issues.
- Preparation of the MIS Monthly reports (for Utility)
- Addressing and resolving queries raised by internal and VAT auditors.
- Providing responses to reports requested by senior management or the audit team related to accounts payable.
- Executing any additional tasks or reports assigned by the HOD/ Manager.

Mandatory Operational Points for Awareness and Adherence:





- Ensure accurate usage of Transaction Codes for all transactions, with particular attention to debit memos.
- Maintain proper records of invoices classified as non-recoverable due to internal delays.
- Apply prepayments correctly on a transaction-wise basis. Prepaid amounts below AED 2 from the same supplier (across different POs) must also be applied against current transactions.
- Immediately run the Outstanding Report after period closure and filter transactions in AED, USD, and EUR to:
- Identify suppliers with missing bank details in the system.
- Identify transactions where bank details exist but the payment method remains marked as Check”.

Ensure timely follow-up and resolution of the above discrepancies.

- Promptly address and resolve all rejection entries.
- After updating supplier bank details in Oracle, generate the Statement of Account (SOA) and change the payment method from “Check” to “Electronic”.
