Job Summary

We are looking for a responsible and detail-oriented Healthcare Quality & Documentation Executive to support hospital quality improvement and accreditation-related assignments.

The selected candidate will work closely with hospital doctors, administrators, nurses, department heads and internal consultants to collect required information, review existing hospital practices, prepare and update manuals, policies, procedures, formats and records based on instructions provided by the senior consultant.

This role requires strong communication skills, qualified behaviour, document-preparation ability and the confidence to coordinate with different hospital departments. The candidate should be capable of understanding instructions, organising information accurately and completing assigned tasks within agreed timelines.

Key Responsibilities

- Visit hospitals and coordinate with doctors, administrators, nursing staff and department representatives.
- Collect operational, administrative, clinical and quality-related information from different hospital departments.
- Verify the completeness, accuracy and validity of information provided by the hospital.
- Organise collected information in structured trackers, checklists and digital folders.
- Prepare, edit and update hospital manuals, policies, procedures, forms and formats according to instructions from senior consultants.
- Convert hospital practices and consultant inputs into clear,



professional and easy-to-follow documentation.
- Maintain proper document names, version numbers, approval details, review dates and document-control information.
- Review existing documents and identify missing, incomplete, outdated or inconsistent information.
- Follow up with hospital representatives for pending information, corrections and approvals.
- Assist in reviewing sample hospital records and highlighting documentation gaps.
- Update project trackers regularly and report completed, pending and delayed activities.
- Prepare visit reports, gap reports, action plans, meeting notes and progress summaries.
- Support the organisation of documents for accreditation applications, assessments and internal reviews.
- Coordinate with the internal consultancy team to ensure work is completed according to the project timeline.
- Maintain confidentiality of hospital, employee and patient-related information.
- Communicate professionally with clients through telephone, email, WhatsApp and in-person meetings.
- Explain document requirements clearly to hospital staff without creating confusion.
- Support training, awareness sessions and implementation activities when required.
- Perform other healthcare quality and documentation-related activities assigned by the reporting manager.





Required Qualifications

- Any Degree. We believe in skills more than a degree.
- Freshers with strong communication and documentation skills may apply.
- Previous experience in a hospital, healthcare consultancy, accreditation, administration or quality department will be an advantage.

Required Skills

- Strong verbal and written communication skills.
- Ability to communicate confidently and respectfully with doctors, hospital owners and senior administrators.
- Good documentation, drafting and report-writing skills.
- Strong attention to detail and accuracy.
- Ability to understand instructions and convert them into structured documents.
- Good knowledge of Microsoft Word, Excel, PowerPoint, Google Docs, Google Sheets and Google Drive.
- Ability to manage multiple documents, trackers and deadlines.
- Good follow-up and coordination skills.
- Ability to work independently during hospital visits.
- Professional appearance, behaviour and client-handling skills.
- Willingness to learn hospital quality and accreditation requirements.
- Ability to travel to client hospitals when required.
- Proficiency in English and Tamil is preferred.

Preferred Candidate Profile

The ideal candidate should be organised, patient, responsible and comfortable interacting with different hospital departments. The person should be willing to learn, accept feedback and make document corrections promptly.

Candidates who have experience preparing manuals, policies, procedures, reports, presentations, audit documents or hospital records will be given preference.
