Job Summary

We are looking for an experienced MSP Onboarding Specialist to manage the end-to-end onboarding process for consultants placed through Managed Service Providers (MSPs) and Vendor Management Systems (VMS). The ideal candidate should have robust knowledge of MSP onboarding, client compliance, documentation, background verification, and consultant onboarding to ensure a seamless hiring experience.

Key Responsibilities

- Manage the complete onboarding process for consultants placed through MSP/VMS clients.
- Coordinate with recruiters, account managers, vendors, clients, and consultants to ensure timely onboarding.
- Review and process onboarding requirements received from MSPs and end clients.
- Collect and validate all onboarding documentation, including:
- I-9 documentation
- W-4 forms
- Direct Deposit information
- Offer letters
- Employment agreements
- NDA and client-specific forms
- State-specific employment documents

- Verify work authorization documents (US Citizen, Green Card, H1B, H4 EAD, L2 EAD, OPT, CPT, TN, etc.).
- Initiate and track background verification, drug screening, and reference checks based on client requirements.
- Ensure compliance with federal, state, MSP, and client onboarding policies.
- Coordinate E-Verify (where applicable) and complete all pre-employment compliance activities.
- Monitor onboarding status and ensure all requirements are completed before the consultant's start date.
- Follow up with consultants, vendors, recruiters, and clients on pending documentation.
- Work closely with Payroll, HR, and Compliance teams to ensure timely employee setup.
- Update consultant records in ATS, VMS, and internal systems.




- Maintain onboarding trackers and provide daily/weekly onboarding status reports.
- Resolve onboarding issues quickly to avoid delays in consultant start dates.
- Ensure 100% documentation accuracy and audit readiness.

Required Skills

- 25 years of experience in US Staffing MSP onboarding.
- Strong understanding of MSP/VMS onboarding processes.
- Knowledge of major VMS/MSP platforms such as:
- Fieldglass
- Beeline
- IQNavigator
- PRO Unlimited
- Wand
- VNDLY

- Experience with I-9, E-Verify, W-4, employment verification, and compliance documentation.
- Knowledge of US work authorization and visa types.
- Excellent communication, coordination, and stakeholder management skills.
- Strong organizational skills with the ability to manage multiple onboarding activities.
- Proficiency in MS Excel, Outlook, ATS, and CRM systems.

Preferred Qualifications

- Bachelor's degree in HR, Business Administration, or a related field.
- Experience working with Tier-1 vendors, implementation partners, and direct clients.
- Familiarity with ATS platforms such as JobDiva, Bullhorn, Ceipal, or similar tools.

Preferred Experience
