Role Purpose

The Assistant Manager Project Operations will be responsible for managing the overall operational coordination and execution of the APL Wallpaper Project at Bagru, Jaipur.

This is a crucial customer-facing project requiring close coordination between the customer, toll-manufacturing partner, internal departments, vendors and logistics partners. The incumbent will ensure smooth execution of customer orders from requirement receipt and production planning through quality clearance, dispatch and final delivery.

The role requires strong ownership, planning ability, commercial awareness, customer coordination and cross-functional execution skills.

Key Roles and Responsibilities

1. End-to-End Project Operations

- Manage the day-to-day operations of the APL Nilaya Wallpaper Project.
- Coordinate the complete order-execution cycle from order receipt to production, quality clearance, dispatch and delivery.
- Prepare project plans, execution schedules, milestone trackers and activity calendars.
- Ensure that all activities are completed within agreed timelines and customer commitments.
- Identify operational bottlenecks and coordinate timely corrective actions.
- Maintain complete visibility of ongoing, pending, delayed and completed activities.
- Act as the central coordination point for all project-related operational matters.

2. Toll-Manufacturing Management

- Manage end-to-end coordination with the toll-manufacturing facility.
- Translate customer requirements and approved specifications into executable manufacturing plans.
- Monitor production schedules, batch planning, machine availability and capacity utilisation.
- Ensure timely availability of approved raw materials, packaging materials, designs, artwork and production inputs.
- Track daily production output against planned quantities.
- Coordinate with the manufacturing team to address delays, rework, rejection, material shortages and capacity constraints.
- Ensure that toll-manufacturing activities comply with agreed quality, process and delivery requirements.
- Maintain records of production output, wastage, rejection and pending quantities.

3. Customer Coordination

- Act as the primary operational point of contact for Asian Paints/Nilaya during project execution.
- Coordinate with the customer regarding order status, specifications, designs, artwork, samples, approvals and delivery schedules.
- Ensure that customer instructions and changes are accurately documented and communicated internally.
- Provide structured and timely updates on production, quality, dispatch and pending approvals.
- Coordinate the resolution of customer queries and operational concerns with relevant internal departments.
- Maintain professional communication and ensure timely closure of customer escalations.
- Build a strong and dependable working relationship with the customers project, purchase, supply-chain and operations teams.

4. Order Management and Execution

- Review customer orders, forecasts and delivery requirements.
- Validate order details, quantities, specifications, designs, packaging and timelines.
- Prepare order-wise execution plans and internal work schedules.
- Track each order from receipt through manufacturing, quality inspection, packing and dispatch.
- Ensure that order changes, revisions and priority requirements are properly recorded and implemented.
- Monitor open orders, overdue orders, short supplies and balance quantities.
- Ensure timely closure and documentation of completed orders.

5. Production Planning and Monitoring





- Coordinate with Production to prepare daily, weekly and monthly manufacturing plans.
- Align production schedules with customer priorities, material availability and plant capacity.
- Monitor planned versus actual production and identify variances.
- Track machine utilisation, manpower availability, output, downtime and productivity.
- Coordinate recovery plans wherever production falls behind schedule.
- Ensure production sequencing minimises changeover time, wastage and avoidable delays.
- Share production status and exception reports with management.

6. Material Planning and Purchase Coordination

- Prepare material requirements based on production plans and customer orders.
- Coordinate with Purchase for timely procurement of raw materials, consumables, packaging materials and external services.
- Track purchase requisitions, purchase orders, supplier commitments and expected delivery dates.
- Highlight material shortages that may impact production or delivery.
- Coordinate with vendors and suppliers for urgent or critical requirements.
- Support alternate-supplier and contingency planning wherever required.
- Ensure materials received are aligned with approved specifications and project requirements.

7. Inventory and Warehouse Coordination

- Monitor inventory of raw materials, work-in-progress, finished goods and packaging materials.
- Coordinate with Stores and Warehouse for inward receipt, storage, issuance and stock reconciliation.
- Ensure required materials are available before production commencement.
- Monitor slow-moving, excess, damaged or obsolete project inventory.
- Track finished-goods availability against dispatch schedules.
- Ensure proper identification, segregation and traceability of customer-specific material.
- Support periodic physical verification and inventory reconciliation.

8. Quality Coordination

- Coordinate with Quality and Production teams to ensure adherence to approved product specifications.
- Track sample approvals, pre-production approvals and final quality clearances.
- Monitor quality deviations, rejection, rework and customer complaints.
- Ensure corrective and preventive actions are implemented within agreed timelines.
- Maintain records of quality approvals, test reports, inspection observations and customer feedback.
- Ensure that no material is dispatched without the required quality clearance.
- Support root-cause analysis for recurring quality issues.

9. Dispatch and Logistics Coordination

- Prepare dispatch plans in line with customer requirements and production readiness.
- Coordinate with Warehouse, Finance and Logistics teams for documentation and dispatch clearance.
- Arrange transporters and monitor vehicle placement.
- Ensure correct quantity, packaging, labelling and documentation before dispatch.
- Track shipments until delivery and obtain proof of delivery.
- Resolve transportation delays, shortages, damages and delivery-related issues.
- Maintain dispatch trackers, transporter details and shipment status reports.
- Coordinate priority and emergency dispatches when required.

10. Cross-Functional Coordination

- Liaise with Sales, Production, Purchase, Quality, Maintenance, Finance, Logistics, Warehouse and Management.
- Conduct regular project-review meetings with concerned stakeholders.
- Follow up on pending actions and ensure ownership is clearly assigned.
- Escalate delays and risks to the Project Head or Operations Head.
- Ensure that all functions work against a common execution plan.




- Support resolution of operational, technical, commercial and customer-related issues.

11. Project Timeline, Budget and Resource Control

- Monitor project timelines, planned activities, budgets and resource utilisation.
- Track actual costs against approved project estimates, wherever applicable.
- Highlight cost overruns, additional requirements and unplanned expenditure.
- Ensure efficient use of manpower, machinery, materials and external services.
- Support cost-optimisation initiatives without affecting quality or customer commitments.
- Maintain budget, resource and cost-related MIS for management review.

12. MIS, Reporting and Documentation

- Prepare daily, weekly and monthly project-operation reports.
- Maintain order trackers, production plans, material trackers, quality status, dispatch schedules and pending-action reports.
- Provide regular project updates to management.
- Track key risks, delays, customer dependencies and decisions required.
- Maintain complete project documentation, customer correspondence, approvals and order records.
- Ensure all documents are accurate, updated and available for review or audit.
- Prepare presentations and progress reports for customer and management meetings.

13. Risk and Escalation Management

- Identify operational risks relating to materials, production capacity, quality, approvals, logistics and customer timelines.
- Develop preventive and contingency plans for critical project activities.
- Escalate risks early rather than after timelines are missed.
- Maintain a project-risk and issue tracker.
- Coordinate timely resolution of critical issues with department heads.
- Ensure appropriate documentation of major deviations and corrective actions.

14. Process Improvement

- Identify gaps in order processing, planning, manufacturing coordination, material flow, quality and dispatch.
- Develop standard operating procedures, checklists and trackers for project execution.
- Improve turnaround time, communication flow and accountability.
- Reduce delays, rework, wastage and repeated follow-ups.
- Support digitisation and automation of operational reporting wherever feasible.
- Create a structured and scalable project-management process for future business growth.

Required Educational Qualifications:

A bachelors degree in any of the following:

- B.E./B.Tech. in Mechanical Engineering
- B.E./B.Tech. in Production Engineering
- B.E./B.Tech. in Industrial Engineering
- B.E./B.Tech. in Chemical Engineering
- B.E./B.Tech. in Printing Technology
- B.E./B.Tech. in Polymer/Plastics Technology
- B.E./B.Tech. in Packaging Technology
- Bachelors degree in Operations, Commerce, Business Administration or a relevant discipline

Preferred/Added Advantage

- MBA/PGDM in Operations Management
- MBA/PGDM in Supply Chain Management
- MBA/PGDM in Project Management
- Postgraduate Diploma in Materials Management
- Certification in Project Management, Lean Manufacturing, Six Sigma or Supply Chain
- Exposure to SAP/ERP-based order and production-management systems

Candidate Profile

- 4–7 years of experience in project operations, order management, manufacturing coordination, business coordination or customer operations.
- Experience in manufacturing, wallpaper, printing, dcor, packaging, paints, coatings, polymers, laminates, textiles or process industries will be preferred.
- Strong knowledge of production planning, material coordination, inventory, quality and dispatch.
- Experience in toll manufacturing or contract manufacturing will be highly desirable.
- Strong customer-handling and cross-functional coordination skills.
- Proficiency in MS Excel, MS Office, PowerPoint and SAP/ERP.
- Ability to prepare structured MIS, trackers and management reports.
- Strong follow-up, problem-solving and execution capability.
- Willingness to be based at the Bagru facility and work closely with plant operations.
