Role & responsibilities:
- Oversee the day-to-day administration of the corporate office, ensuring smooth and efficient workplace operations.
- Manage housekeeping, security, cafeteria services, office maintenance, and workspace readiness to maintain a secure and productive work environment.
- Coordinate domestic and international travel arrangements, including flight bookings, hotel reservations, visa assistance, travel insurance, and itineraries for employees, management, and business delegates.
- Manage the end-to-end experience for external visitors, including clients, suppliers, business partners, and international guests, ensuring professional hospitality and seamless coordination.
- Coordinate logistics and hospitality for board meetings, leadership visits, supplier meetings, business reviews, and overseas delegates.
- Plan and execute administrative support for travel exhibitions, trade fairs, corporate events, annual meetings, employee engagement initiatives, and other business events.
- Manage vendor relationships, procurement, service contracts, AMCs, and office supplies while ensuring quality, timely service delivery, and cost optimization.
- Oversee office infrastructure, asset management, and maintenance of administrative facilities to ensure uninterrupted business operations.
- Prepare and monitor administration budgets, MIS reports, vendor performance, and cost-control initiatives.
- Ensure compliance with statutory requirements related to office administration, workplace safety, fire safety, and facility management.
- Collaborate with HR, Finance, IT, and other departments to provide effective administrative support and enhance the overall employee experience.
- Lead, mentor, and develop the Administration team while driving process improvements and maintaining high standards of workplace services and corporate hospitality.
Preferred candidate profile
- Minimum Bachelor's degree. (Any Graduate)
- 812 years of experience in Corporate Administration, Facilities Management, Workplace Services, or Hospitality Administration.
- Proven experience in office administration, corporate travel coordination, vendor management, workplace operations, and corporate hospitality.
- Exposure to the Travel, Hospitality, Aviation, or Tourism industry will be highly preferred.
- Strong knowledge of procurement, contract management, budgeting, office infrastructure, and statutory compliance.
- Excellent communication, negotiation, stakeholder management, and organizational skills.
- Proficiency in Microsoft Office applications.
- Strong leadership, problem-solving, and decision-making skills with the ability to manage multiple priorities in a fast-paced environment.
- Customer-centric approach with a high level of professionalism, attention to detail, and commitment to service excellence.
