Job Title

Senior Trade Marketing Coordinator

Location _ Mumbai

Role Purpose

The role is responsible for financial governance and operational control of the RX trade marketing projects. The Senior Coordinator will own invoicing, provisions, budget tracking, spends control, and MIS reporting, ensuring accuracy, compliance, and timely closures across all trade marketing initiatives.

Key Responsibilities

1. Invoice, PO & Payment Management

- Own end-to-end invoice processing for marketing activities (validation, coordination, closure)

- Coordinate with Finance, Vendors, and Internal Teams for PO creation, invoice booking, and payment release

- Ensure invoice accuracy against approved scope, estimates, and deliverables

2. Budget, Provisions & Spend Control

- Track approved budgets vs actual spends at project and brand level

- Create and manage monthly provisions in alignment with Finance

- Flag overruns, under-utilization, and risks proactively with corrective action plans

3. MIS, Reporting & Dashboards

- Prepare weekly and monthly MIS covering spends, commitments, accruals, and closures

- Maintain project-wise, vendor-wise, and brand-wise trackers

- Share structured updates with Marketing and Finance leadership

4. Financial Governance & Compliance

- Ensure adherence to internal finance SOPs, audit requirements, and documentation standards

- Maintain records for agreements, estimates, approvals, invoices, and closures

- Support internal and external audits with complete and accurate documentation

5. Cross-Functional & Vendor Coordination

- Act as the single point of coordination between Marketing, Finance, Procurement, and Vendors

- Drive timely closure of financial dependencies without impacting project execution

6. Special projects





- Will be part of trade marketing special projects limited to MIS related stuff

Skills & Competencies

Functional Skills

Preferred candidate profile

Strong knowledge of invoice processing, provisions, accruals, and budget tracking

- Advanced Excel skills (trackers, reconciliation, MIS)

- Understanding of PO, vendor payments, and audit processes

Behavioural Competencies

- High attention to detail and numerical accuracy

- Ability to manage multiple projects under timelines
