Lead ownership of enterprise SMTP gateways and secure email service ensuring the platform is secure, resilient and consistently delivers a high quality experience to colleagues across the organisation
Act as the subject matter expert for Cisco Email Security Appliance SMTP Gateways and Cisco Secure Email Encryption Service, providing specialist guidance and direction to technology teams and stakeholders
Support identity and access management processes, ensuring permissions, authentication and access models operate smoothly in partnership with the IDAM team
Resolve complex service issues and coordinate incident response across internal teams and external partners and vendors to restore service quickly and effectively
Embed strong security and compliance controls, working with Security, Risk and Compliance teams to maintain safe and governed collaboration services
Produce clear documentation and share knowledge across teams, helping build capability and strengthen operational maturity
Work collaboratively with colleagues across Architecture, Infrastructure, Security and Network functions to ensure aligned, end to end service delivery
Champion continuous improvement, driving simplification, optimisation and reduction of technical debt
Can act as a project manager from ideation process, influencing decisions to delivery and proactively look for opportunities and tools to improve the process

Knowledge Skills (Core)
In-depth and proven expertise in enterprise SMTP gateway technologies, including secure email gateways, message transfer agents (MTAs), routing, mail flow controls, and SMTP protocol standards (RFC 5321 and 5322)
Extensive hands on experience of Cisco Email Security Appliance, Cisco Secure Email Encryption Service or equivalent (Proofpoint, Checkpoint, Mimecast), Microsoft Exchange Online Protection (EOP) and Microsoft Defender for Office 365
Excellent troubleshooting capability of SMTP across distributed cloud services, hybrid environments, and multi vendor dependencies
Including mail-flow issues, header analysis, TLS negotiation, message tracking, routing logic, security policy impacts, and leveraging tools such as PowerShell, Message Trace, logs, packet capture and analytics
In-depth understanding of email authentication, including:
o SPF record design and alignment
o DKIM configuration and key rotation
o DMARC policy deployment, monitoring and reporting (RUA/RUF)
o BIMI
In-depth knowledge of email security posture, including phishing defence, antispam/antimalware, content filtering, impersonation protection,
and secure relay design
Extensive hands on experience in designing, deploying, managing and optimising enterprise-class SMTP gateway architectures, including HA, DR, load balancing, queue management, and capacity planning
Proven expertise in Microsoft Exchange Online, including mail flow, connectors, transport rules, journaling, hybrid configurations, mailbox provisioning and end-to-end service troubleshooting
Strong understanding of the wider Microsoft 365 collaboration ecosystem, including operational and configuration knowledge
Proven ability to analyse business and technical requirements to shape robust, scalable and secure collaboration solutions, ensuring strong alignment with enterprise architecture and security standards
Strong knowledge of M365 security, compliance and governance capabilities, including Microsoft Purview - retention policies, mailbox audit logging, eDiscovery, DLP and risk based configuration
Solid written and verbal communication skills, with the ability to articulate technical solutions, risks and impacts to both technical and non technical stakeholders
Ability to create clear, high quality documentation including architecture diagrams, operational procedures, standards, and recovery playbooks
Solid problem-solving and decision-making skills, able to drive resolution and root cause analysis to mitigate against incident reoccurrence
