Role & responsibilities
Office Administration
- Oversee daily office operations and ensure effective workflow.
- Supervise administrative staff, housekeeping, office assistants, and support personnel.
- Manage office supplies, stationery, equipment, and maintenance.
- Coordinate with vendors, service providers, and contractors.
- Maintain office records, files, and documentation.
- Develop and implement office policies and standard operating procedures.
- Monitor administrative budgets and control office expenses.
- Handle travel arrangements, hotel bookings, and meeting coordination.
- Ensure compliance with company policies and statutory requirements.
Accounts & Finance
- Maintain day-to-day accounting records.
- Prepare and process vendor payments, invoices, and receipts.
- Handle accounts payable and accounts receivable.
- Record, monitor, and maintain account inflow and outflow transactions
- Perform bank reconciliations and cash flow monitoring.
- Prepare monthly MIS reports and financial statements.
- Coordinate with auditors, tax consultants, and bankers.
- Maintain fixed asset records and expense tracking.
- Ensure timely processing of reimbursements and petty cash.
HR & Administration Support
- Coordinate employee attendance and leave records.
- Assist with employee onboarding and exit formalities.
- Maintain employee files and HR documentation.
- Support recruitment scheduling and documentation.
Compliance & Documentation
- Ensure timely renewal of office licenses, insurance, and service contracts.
- Maintain statutory records and company documents.
- Coordinate GST, TDS, Professional Tax, PF, ESIC, and other compliance requirements (as applicable).
- Liaise with government authorities and external agencies when required.
Coordination & Communication
- Act as the primary point of contact for administrative matters.
- Coordinate with all departments for operational requirements.
- Prepare reports, presentations, and management correspondence.
- Support management with special projects and operational initiatives.
Preferred candidate profile
Required Qualifications
- B.Com, M.Com, Business Administration, Finance, or a related field.
- MBA or relevant professional qualification is an added advantage.
Experience
- Minimum 5 years of experience in office administration and accounting.
- Experience in managing office operations independently.
- Knowledge of statutory compliance and financial processes.
Technical Skills
- Proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook).
- Knowledge of GST, TDS, payroll, and statutory compliance.
- Strong reporting and documentation skills.
