What would you do?
The Global Mobility Admin Associate is responsible for executing and supporting global mobility processes, including immigration, relocation, and assignment administration for employees moving into or within Australia. The role involves managing mobility cases, coordinating with internal stakeholders and vendors, and ensuring compliance with Australian regulations. In an airline industry context, the role additionally supports mobility operations for crew and high-travel employees, ensuring productive handling of travel documentation, regulatory requirements, and scheduling-related coordination.
What are we looking for?
Relevant years of experience in HR operations, global mobility, or relocation support roles
- Experience in handling end-to-end case management or coordination activities preferred
- Exposure to airline, travel, or high-mobility workforce environments is an added advantage
- Bachelor-s degree in Commerce, Business Administration, Human Resources, or a related discipline.
- Shift Timings: "Region: Australia (AEST - Sydney/Melbourne)
Local Shift: 9:00 AM - 5:00 PM AEST
IST Conversion: 5:30 AM - 1:30 PM IST"
- Good understanding of global mobility processes including immigration, relocation, and assignment lifecycle management
- Familiarity with Australian visa processes (e.g., Temporary Skill Shortage visa) and compliance requirements
- Understanding of airline industry mobility nuances including crew rotations, international travel requirements, and layover regulations
- Awareness of aviation compliance frameworks (e.g., CASA) impacting employee and crew movement
- Strong coordination and case management skills across multiple stakeholders and vendors
- Ability to manage time-sensitive mobility cases and high-frequency travel requirements
- Attention to detail in handling documentation, compliance checks, and reporting
- Effective communication skills for supporting a mobile workforce (including crew members)
- Proficiency in MS Office tools (Excel, Outlook, PowerPoint)
- Understanding of data privacy, confidentiality, and cross-border employee data handling
Roles and Responsibilities:
- Execute end-to-end administrative mobility processes including immigration documentation, relocation coordination, and onboarding support
- Manage assigned mobility cases, ensuring timely completion and adherence to SLAs
- Coordinate with external vendors for visa processing, relocation services, and travel arrangements
- Ensure compliance with Australian immigration laws and internal mobility policies
- Maintain accurate and updated records of employee and airline crew mobility data
- Support airline-specific mobility activities such as crew travel documentation (passports, visas), layover compliance, and rotational assignments
- Coordinate closely with HR, payroll, travel, and operations teams for seamless employee and crew movement
- Track and report mobility case status, highlighting risks or delays proactively
- Provide first-level resolution for employee/crew queries related to mobility processes, travel requirements, and documentation
- Ensure adherence to aviation regulatory requirements (e.g., CASA guidelines where applicable) for crew mobility and travel compliance
- Identify process improvement opportunities, especially in high-volume mobility and travel environments
