Role & responsibilities
- Manage and maintain complex calendars, including scheduling meetings, coordinating across multiple time zones, and prioritizing appointments.
- Handle confidential and sensitive information with discretion.
- Prepare meeting agendas, take minutes, and follow up on action items.
- Coordinate travel arrangements, expense reporting, and logistics for meetings and events.
- Serve as the primary point of contact for internal and external stakeholders on behalf of the Head of Operations and the CFO.
- Draft, review, and manage professional correspondence, presentations, and reports.
- Assist in tracking strategic initiatives and ensuring deadlines are met.
- Support special projects, research, and administrative needs as required.
Preferred candidate profile
- Bachelors degree or equivalent experience preferred.
- Minimum of 5 years experience as an Executive Assistant or in a similar role supporting senior executives.
- Exceptional written and verbal communication skills.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and virtual collaboration tools (Zoom, Teams, Google Workspace).
- Strong organizational skills with the ability to multitask and prioritize.
- Ability to work independently and maintain professionalism under pressure.
- Flexibility to work during Pacific Time (PT) business hours regardless of location.
