ROLE OVERVIEW
This is a mid-level managerial role focused on the operational leadership of Manager Administrative Operations & Corporate Relations. The incumbent will work closely with the Reporting Authority driving administrative operations, corporate relations, stakeholder engagement, brand and content governance, media, events, and membership functions.
Reporting to the CEO, with dotted-line reporting to the CMD and Executive Director, this individual must bring strong managerial acumen, cross-functional coordination ability, and a proactive mindset to thrive in a high-visibility, high-accountability environment. The role demands strong process ownership, the ability to build and sustain corporate relationships at all levels, and effective stewardship of strategic communications and organizational initiatives.

KEY RESPONSIBILITIES

Board, Trustee & Leadership Coordination
- Coordinate and manage board and trustee meetings, including scheduling, agenda preparation, and documentation.
- Ensure timely communication and follow-ups with trustees and founders.
- Support financial and account-related coordination with relevant teams and stakeholders.
- Maintain confidentiality and accuracy in all board-level and strategic communications.
- Support documentation and timely sharing of MoMs within 1224 hours post meetings.
Membership Acquisition & Onboarding
Ensure all Symposium membership touchpoints reflect a tone of depth, warmth, and sophistication.
- Assist in identifying, evaluating, and onboarding members aligned with Symposium’s vision and objectives.
- Assist in driving membership growth through targeted outreach and pipeline development.
- Manage the end-to-end membership lifecycle, including onboarding and documentation.
- Ensure a seamless and personalized onboarding experience.
- Maintain accurate membership records and track key metrics.
- Drive member engagement and retention initiatives.
- Build strong member relationships and gather feedback for continuous improvement.
Social Media Supervision & Overview
- Oversee and monitor social media vendor performance across all deliverables.
- Ensure vendor adherence to brand voice, guidelines, and quality standards.
- Supervise timely responses to vendor queries, comments, and messages.
- Ensure all customer queries and concerns on social media are addressed promptly, with no pending responses.
- Review and approve social media content calendars prepared by the vendor.
- Oversee vendor-driven creation of engaging, relevant, and brand-aligned content.
- Ensure consistent execution of social media strategies across all platforms by the vendor.
Website Supervision & Overview
- Monitor website vendor performance across deliverables.
- Ensure adherence to brand, design, and quality standards.
- Oversee timely resolution of vendor queries and updates.
- Ensure no pending issues or user experience gaps on the website.
- Review and approve website content and updates.
- Ensure engaging, relevant,
and brand-aligned content.
- Maintain consistency in website strategy and execution.
- Ensure all customer queries and concerns on website are addressed promptly, with no pending responses.
Event Planning & Management
Ensure all communication reflects Symposium’s tone — refined, thoughtful, and engaging.
- Support in developing event themes, topics, and session formats.
- Plan and design the overall event flow, including agenda and experience touchpoints.
- Ensure all event communications (invites, reminders, briefs, and post-event notes) are thoughtfully drafted, platform-appropriate (Email, WhatsApp), and ensuring timely response (within 24 hours).
- Coordinate with speakers, moderators, curators, and stakeholders for seamless execution.
- Identify and coordinate with vendors, venues, and media partners for timely delivery and visibility.
- Manage timelines, budgets, checklists, and execution schedules with zero gaps.
- Oversee venue operations, logistics, hospitality, and technical requirements.
- Ensure smooth guest management and high-quality on-ground experience aligned with brand standards.
- Manage curated giveaways and gifting for members and speakers.
- Ensure seamless end-to-end execution of the event.
- Track post-event feedback and drive continuous improvement.
Executive Support to CEO & Leadership
- Ensure accurate calendar management with zero scheduling conflicts.
- Assist in preparing and circulating meeting agendas at least 24 hours in advance.
- Documentation and timely sharing of MoMs within 12–24 hours post meetings.
- Facilitate consistent follow-ups to achieve 100% task closure compliance.
- Provide comprehensive administrative and coordination support to CEO, Management, and Founder across all engagements.
Administrative & Accounts Database
- Maintain accurate and regularly updated membership database/CRM.
- Track member activity, engagement, and lifecycle status.
- Prepare periodic reports on membership growth, engagement, and retention.
- Manage membership fees, collections, and payment tracking in coordination with accounts.
- Ensure timely invoicing, receipts, and proper financial documentation.
- Maintain accuracy and transparency in all membership-related financial records.
- Follow up on pending payments and renewals in a professional manner.
- Coordinate financial and account-related matters in close collaboration with the CEO, management, and relevant teams and stakeholders.
Administrative Operations & Corporate Relations
- Oversee day-to-day administrative operations, ensuring efficient systems, processes, and office management across functions
- Build and maintain strategic corporate relationships with key stakeholders, partners, industry bodies, and external organizations
- Develop and implement standard operating procedures (SOPs)
for administrative workflows to drive consistency and efficiency
- Serve as the primary point of contact for corporate correspondence, institutional communication, and relationship management with external entities
- Coordinate interdepartmental activities, monitor task progress, and ensure timely execution of operational priorities
- Manage institutional MoUs, agreements, and partnership documentation in coordination with leadership
- Support leadership in representing the organization at external forums, conferences, and networking platforms
QUALIFICATIONS & EXPERIENCE
- Master's or Bachelor's degree in Business Administration, Communications, Management, or a related field; MBA preferred
- Minimum 5 years of experience in an executive administrative or strategic communications role
- Proven experience providing high-level support to C-suite or board-level executives in a quick-paced environment
- Demonstrated experience managing external vendors (digital, events, or communications)
- Strong background in event planning, coordination, and end-to-end execution
- Experience with CRM systems, membership management, or database administration is an advantage
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and ability to adapt to new technology
- Prior experience in an administrative operations or corporate relations management role, with a track record of building institutional partnerships and streamlining organizational processes
