Role & responsibilities

1. Process and verify employee claims and reimbursements in accordance with institutional policies and approved entitlements.
2. Scrutinize reimbursement claims related to travel, medical, mobile, conveyance, academic expenses, and other approved categories.
3. Ensure completeness, accuracy, and validity of supporting documents submitted with claims.
4. Coordinate with departments and employees to resolve discrepancies, seek clarifications, and ensure timely claim closure.
5. Process approved claims in ERP/finance systems and coordinate with Accounts and Payments teams for disbursement.
6. Maintain accurate records of claims received, processed, approved, rejected, and paid.
7. Ensure compliance with institutional financial policies, tax regulations, and audit requirements related to reimbursements.
8. Support TDS implications and statutory compliance related to reimbursements, where applicable.
9. Prepare periodic MIS reports on claims volume, turnaround time, pending claims, and expenditure trends.

Support internal and external audits by providing documentation, reports, and explanations related to claims processing.
11. Assist in implementation and adherence to SOPs, workflows, and internal controls for claims and reimbursements.
12. Support process improvements, digitization initiatives, and ERP enhancements related to claims processing.
13. Handle employee queries related to reimbursement policies, procedures, and claim status in a professional manner.

- Minimum 3 to 5 years of experience in claims processing, reimbursements, accounts payable, or finance operations.
- Robust knowledge of reimbursement processes, documentation, compliance, ERP systems, and MIS reporting. Proficiency in MS Excel and finance systems is essential. Attention to detail and coordination skills are critical.

Bachelors or Master’s degree in Commerce, Finance, Accounting, Management, or a related discipline.
CA (Inter) / CMA (Inter) / MBA (Finance) is desirable.
