1. Job Purpose
To ensure smooth, timely, and legally compliant import and export operations by coordinating with various suppliers, freight forwarders, carriers, clearing agents, government authorities, and internal departments while minimizing logistics cost, avoiding shipment delays, and maintaining compliance with Indian customs regulations and customer requirements.

2. Key Responsibilities
A. Import Operations

- Plan and monitor all import shipments.
- Coordinate with overseas suppliers regarding shipment schedules.
- Verify Purchase Orders before shipment.
- Ensure suppliers submit shipping documents on time.
- Coordinate with freight forwarders and CHA (Custom House Agent).
- Track shipments from supplier to factory.
- Arrange customs clearance without delay.
- Coordinate transportation from port to plant.
- Ensure timely receipt of imported raw materials to avoid production stoppage.
- Monitor detention, demurrage and container charges.
- Resolve customs-related issues.

B. Export Operations

- Coordinate export dispatch according to customer schedules.
- Prepare export documentation.
- Coordinate with freight forwarders.
- Arrange container booking.
- Monitor vessel schedules.
- Coordinate factory loading.
- Ensure export shipments meet customer delivery dates.
- Follow export compliance requirements.

C. Documentation
Prepare, verify and maintain:

- Commercial Invoice
- Packing List
- Bill of Lading / Air Waybill
- Certificate of Origin
- Insurance documents
- Delivery Challan
- Shipping Bill
- Import Bill of Entry
- Purchase Orders
- Letter of Credit documents (if applicable)
- GST documentation
- E-way Bill
- FTA / CEPA documents wherever applicable

Maintain digital and physical documentation as per company policy.

D. Customs & Regulatory Compliance
Ensure compliance with:

- Customs Act
- DGFT Regulations
- ICEGATE procedures
- Foreign Trade Policy
- GST regulations




- RBI regulations relating to imports
- FEMA requirements
- Import licensing requirements
- HS Code classification
- Country of Origin requirements

Coordinate with:

- Customs Brokers
- DGFT
- Shipping Lines
- Freight Forwarders
- Port Authorities

E. Logistics Coordination
Coordinate with:

- Ocean freight
- Air freight
- Road transport
- Courier shipments
- Warehouse
- Production Planning
- Purchase Department
- Stores Department

Monitor:

- Transit time
- Freight cost
- Delivery performance
- Shipment delays

F. Cost Control
Monitor:

- Ocean freight
- Air freight
- Customs duty
- Port charges
- Transportation cost
- Container detention
- Demurrage
- Warehouse charges

Identify cost reduction opportunities.

G. Supplier & Forwarder Management
Evaluate:

- Freight Forwarders
- Customs Brokers
- Transporters

Monitor:

- On-time shipment
- Documentation accuracy
- Freight competitiveness
- Service quality

Conduct periodic performance reviews.

H. SAP / ERP Activities
Create and update:

- Purchase Orders
- Goods Receipt coordination
- Shipment tracking
- Vendor master updates
- Import documentation
- Logistics records

Generate reports from ERP data.

3. Daily Activities

- Review shipment status.
- Follow up with overseas suppliers.
- Coordinate with freight forwarders.
- Review pending documentation.
- Track shipment arrivals.
- Coordinate customs clearance.
- Update management.
- Resolve shipment issues.
- Coordinate with Planning and Stores.
- Maintain shipment tracker.

4. Monthly Activities

- Import shipment summary




- Export shipment summary
- Freight cost analysis
- Customs duty report
- Logistics KPI review
- Shipment delay analysis
- Vendor performance review
- Cost saving report
- Pending shipment report

6. Required Qualifications

- Bachelors degree in commerce, Logistics, Supply Chain, Engineering or related field.
- Diploma/Certification in Export-Import Management is preferred.

7. Experience

- 1-3 years in Import & Export operations.
- Experience in an automotive manufacturing or automotive ancillary company.
- Knowledge of international logistics.
- Experience Korean companies preferred.
