Executive Assistant to the CEO

ABOUT THE ROLE
We are looking for an exceptionally organized, proactive Executive Assistant to be the right hand of our CEO, based in the United States (Seattle, Pacific Time). You will work fully remotely from India with genuinely flexible hours this role is designed around outcomes and a few hours of daily real-time overlap, not a fixed 9-to-6.
This is not a purely administrative position. The right person will operate as a trusted extension of the CEO: protecting their time, managing the flow of information and commitments across two time zones, anticipating what is needed before it is asked for, and quietly making sure nothing falls through the cracks. You will touch confidential material daily — discretion is non-negotiable.
KEY RESPONSIBILITIES
Calendar, Time & Priorities
- Own the CEO's calendar end-to-end: schedule and reschedule meetings across US, India, and international time zones; resolve conflicts; build in preparation and focus time; ensure the calendar reflects actual strategic priorities.
- Prepare a daily briefing at the start of the CEO's day (your IST evening): agenda, meeting context, decisions needed, and items awaiting follow-up.
Communication & Inbox Management
- Triage the CEO's inbox and messages: flag what is urgent, draft responses for routine matters, and maintain a follow-up system so that every commitment made to clients, partners, and team members is tracked to closure.
- Act as a professional, warm first point of contact for clients, partners, and vendors on the CEO's behalf, exercising judgement about what to handle, what to route, and what to escalate.
Meetings, Documents & Follow-Through
- Coordinate internal and client-facing meetings: send agendas and pre-reads, capture minutes and action items, and chase actions to completion across the team.
- Prepare and polish documents,
presentations, and reports (Word, PowerPoint, Excel) to a client-ready standard; maintain well-organized shared files and trackers.
Travel, Expenses & Administration
- Plan domestic and international travel end-to-end: flights, hotels, ground transport, visas, and detailed itineraries built around meeting schedules.
- Handle expense reports, invoice tracking, vendor coordination, and other recurring administrative operations with accuracy and punctuality.
Projects & Special Initiatives
- Run small projects and research tasks independently — comparing vendors, compiling briefs, coordinating event logistics, or chasing a cross-team deliverable — and report back with recommendations, not just information.
WHAT MAKES YOU A FIT
Required
- 3+ years supporting senior leadership (CEO, founder, MD, or C-suite), ideally including US or international executives or clients.
- Exceptional organizational skills: you naturally build systems, lists, and reminders; you are the person who never loses a thread.
- Excellent written and spoken English — you can draft a clear, professional email to a US client without review.
- High proficiency with Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint, SharePoint/OneDrive); comfortable learning new tools quickly, including AI assistants for drafting and research.
- Absolute discretion with confidential business, financial, and personal information.
- Reliable home-office setup: stable high-speed internet, quiet space for calls, and dependable power backup.
Preferred
- Experience at an IT services, consulting,
or professional services firm; familiarity with US business culture and etiquette.
- Exposure to basic bookkeeping, invoicing, or HR coordination; experience with scheduling tools (Calendly or similar) and task managers (Planner, Trello, Asana, or JIRA).
The Person
- Proactive and resourceful — you anticipate needs, propose solutions, and take sensible initiative rather than waiting for permission on everything.
- Calm under pressure, positive in tone, and gracious with people at every level — from a new junior hire to a client CFO.
- Comfortable with the rhythms of async work: clear written updates, positive documentation habits, and ownership of outcomes without supervision.
WORKING HOURS & ARRANGEMENT
- Fully remote from India. No relocation or office attendance required.
- Flexible, IST-anchored schedule. Most of your day is yours to arrange. We ask for a consistent overlap window of roughly 3–4 hours with the CEO's US Pacific morning (approximately 6:30 PM – 10:30 PM IST) for real-time coordination; the remaining hours are flexible and async.
- Async-first culture. A written end-of-day handoff summary replaces unnecessary late-night meetings; occasional flexibility for time-sensitive matters is expected in both directions.
- Compensation: 62,00,000 (INR 6,200,000) per annum. Paid time off, Indian public holidays honored, and a professional development allowance.
