Key Responsibilities

Procurement Management

* Plan and execute procurement of all raw materials, packaging materials, engineering spares, chemicals, consumables, and capital equipment.

* Ensure uninterrupted availability of materials to avoid production stoppages.

* Raise Purchase Orders (POs) as per approved Purchase Requisitions (PRs).

Vendor Development & Management

* Identify, evaluate, and develop reliable suppliers.

* Negotiate prices, payment terms, delivery schedules, and contracts to achieve maximum cost savings.

* Maintain an approved vendor list in coordination with QA and R&D.;

* Conduct periodic vendor performance evaluations.

Inventory Control

* Monitor stock levels and maintain minimum, maximum, and reorder quantities.

* Avoid stock-outs as well as excess inventory.

* Coordinate with Stores for inventory planning, FIFO/FEFO implementation, and stock verification.

Cost Control

* Identify cost-saving opportunities through alternate sourcing, value engineering, and long-term agreements.

* Monitor market trends for dairy commodities such as SMP, Butter, Liquid Glucose, Sugar, Edible Oils, Flavours, Stabilizers, Emulsifiers, Packaging Materials, and engineering items.

* Prepare monthly purchase cost-saving reports.

Coordination

* Work closely with Production, Planning, Quality Assurance, Maintenance, Stores, Finance, and R&D; departments.

* Ensure timely procurement for current product development and trial requirements.





Documentation & Compliance

* Maintain complete purchase records, quotations, comparative statements, purchase orders, invoices, contracts, and supplier documentation.

* Ensure procurement complies with company policies, FSSC 22000, food safety requirements, and applicable statutory regulations.

* Coordinate with Finance for supplier payment reconciliation.

Imports & Capital Procurement

* Handle procurement of imported machinery, spare parts, and ingredients.

* Coordinate with suppliers, freight forwarders, customs agents, and logistics partners for import shipments.

MIS & Reporting

* Prepare and submit:

* Monthly Purchase MIS

* Cost Saving Report

* Vendor Performance Report

* Purchase Budget vs Actual Report

* Pending Purchase Order Report

* Inventory Analysis Report

Experience

* 812 years of experience in procurement within the Dairy, Ice Cream, Food, or FMCG industry.

* Experience in purchasing dairy ingredients, packaging materials, engineering spares, utilities, and imported machinery is preferred.

Required Skills

* Strong negotiation and vendor management skills.

* Knowledge of dairy and ice cream raw materials.

* Purchase planning and inventory management.

* Cost analysis and budgeting.

* ERP/SAP proficiency and advanced MS Excel.

* Strong analytical, communication, and leadership skills.

* Knowledge of FSSC 22000, GMP, and food safety standards.
