About the Role
Innovance is looking for a detail-oriented and reliable Patent Paralegal / IP Filing Assistant to support our patent agents and IP team with patent filings, prosecution documentation, docketing, and client matter management.
The ideal candidate will have 1 to 5 years of experience in patent paralegal work, IP filing support, patent prosecution support, docketing, legal operations, or related IP administrative work. The candidate should be comfortable supporting patent matters across multiple jurisdictions, including the USPTO, CIPO, WIPO, PCT, and other foreign patent offices.
This is a remote role and the candidate must be willing to work according to U.S./Canada Eastern Time Zone hours, including regular overlap with the Innovance team and clients.
Role & responsibilities
- Assist patent agents with the preparation and filing of patent applications, including provisional applications, non-provisional applications, PCT applications, national phase applications, and foreign patent filings.
- Prepare and review patent filing documents, including application data sheets, declarations, assignments, powers of attorney, inventor details, priority documents, drawings, and related filing forms.
- Support filings and submissions through patent office portals, including USPTO Patent Center, CIPO, WIPO ePCT, and other foreign filing systems.
- Assist with prosecution-related documentation, including Office Action reporting, examination requests, responses to missing parts, extensions of time, issue fee payments, maintenance fee reminders, IDS filings, RCEs, continuations, and other routine prosecution documents.
- Monitor patent office communications and help maintain accurate matter histories.
- Coordinate with patent agents, clients, inventors, foreign associates, and internal team members to collect required information and documents.
- Maintain docket records for filing deadlines, prosecution deadlines, national phase deadlines, examination deadlines, annuity deadlines, maintenance fee deadlines, and other post-filing deadlines.
- Track statutory and internal deadlines and send timely reminders to patent agents and team members.
- Update IP management systems, trackers, spreadsheets, document folders, and client matter files.
- Prepare routine correspondence, filing status updates, docket reports, and portfolio status summaries.
- Maintain confidentiality of client information, invention disclosures, and patent-related documents.
Preferred candidate profile
Required Qualifications
- 1 to 5 years of experience in patent paralegal work, IP filing support, patent prosecution support, IP docketing, legal operations, or related IP administrative work.
- Bachelors degree in law, science, engineering, commerce, business administration, or a related field.
- Working knowledge of patent filing and prosecution procedures in at least one major jurisdiction, preferably the United States, Canada, or PCT/WIPO.
- Familiarity with patent filing and prosecution documents such as assignments, declarations, powers of attorney,
application data sheets, priority documents, IDS forms, examination requests, and Office Action correspondence.
- Strong written English and qualified communication skills.
- Excellent attention to detail, accuracy, organization, and deadline management.
- Ability to manage multiple matters across different clients and jurisdictions.
- Proficiency with Microsoft Word, Excel, Google Workspace, PDF tools, and online filing or document management systems.
- Ability to work independently in a remote environment while coordinating effectively with a distributed team.
- Willingness to work according to U.S./Canada Eastern Time Zone hours.
Preferred Qualifications
- Prior experience working with an IP law firm, patent services company, legal process outsourcing team, corporate IP department, or patent agent.
- Experience with USPTO Patent Center, WIPO ePCT, CIPO, or foreign patent filing workflows.
- Experience with patent docketing tools, IP management software, or structured docket trackers.
- Familiarity with PCT timelines, national phase filings, foreign associate coordination, IDS preparation, annuities, maintenance fees, and post-filing patent prosecution steps.
- Technical or scientific background in any field such as engineering, computer science, electronics, biotechnology, chemistry, life sciences, mechanical systems, materials science, software, artificial intelligence, or telecommunications.
- Comfort reading technical documents, invention disclosures, patent specifications, drawings, and patent office correspondence.
- Prior experience supporting Canadian, U.S., PCT, European, or other foreign patent matters.
