Role & responsibilities

The Tender Working Specialist is responsible for identifying, preparing, coordinating, and submitting tenders for Infrastructure, Mining, Civil, MEP, and Government projects. The role involves reviewing tender documents, coordinating with internal departments, preparing technical and commercial bid documents, ensuring compliance with tender requirements, and submitting bids within deadlines.

Key Responsibilities

Tender Identification

- Monitor tender portals such as CPP Portal, GeM, MSTC, e-Procurement portals, Coal India, NALCO, NMDC, SCCL, State Government, and other client portals.
- Identify suitable tenders based on company eligibility.
- Maintain a tender tracking register.

Tender Documentation

- Download and study tender documents.
- Prepare tender checklists.
- Identify eligibility criteria and submission requirements.
- Prepare bid documentation as per tender conditions.

Coordination

- Coordinate with:
- Estimation Department
- Finance Department
- HR Department
- Purchase Department
- Plant & Machinery Department
- Legal Department

- Collect required documents before submission.

Technical Bid Preparation

- Prepare:
- Company Profile
- Work Experience Statements
- Machinery Details
- Technical Compliance Documents
- Employee Details
- Project Execution Methodology
- Organizational Charts

Commercial Bid Support

- Coordinate with estimation and costing teams.
- Prepare BOQ formats.
- Verify pricing schedules.
- Ensure proper commercial documentation.

Statutory Documentation

Maintain updated copies of:

- GST Registration
- PAN
- MSME (if applicable)
- PF Registration
- ESIC Registration
- Labour Licenses
- ISO Certificates
- Financial Statements
- Solvency Certificates
- Bank Guarantees
- Power of Attorney
- Digital Signature Certificates (DSC)

Online Tender Submission

- Upload technical and commercial bids on e-tender portals.
- Resolve upload-related issues.
- Ensure bids are submitted before the deadline.




- Maintain acknowledgment records.

Post Tender Activities

- Attend pre-bid meetings.
- Clarify client queries.
- Coordinate for price negotiations.
- Track tender status until award.

Record Maintenance

- Maintain:

- Contract Award Records

Required Skills

- Solid knowledge of Government Tender Procedures.
- Experience in e-Tender Portals.
- Good documentation skills.
- Excellent communication and coordination abilities.
- Knowledge of BOQ preparation.
- Strong MS Excel, Word, and PowerPoint skills.
- Ability to work under strict deadlines.
- Attention to detail and document accuracy.

Educational Qualification

- Bachelor's Degree in Civil Engineering, Mechanical Engineering, Electrical Engineering, Commerce, Business Administration, or a related field.
- Certification in Tender Management or Contract Management is an added advantage.

Experience

- Tender Manager: 10-15 years

Experience in Infrastructure, Mining, EPC, Construction, or Government contracting is preferred.

- MS Excel (Advanced)

- AutoCAD (basic understanding is an advantage)
