Hiring a detail-oriented Data Manager – Knowledge Management System to own the centralized Knowledge Management System (KMS). The incumbent will ensure that all organizational documents (SOPs, policies, templates, reports, knowledge assets) are standardized, version-controlled, properly tagged, and easy to find.
Key Responsibilities
- Administer the SharePoint KMS, including sites, libraries, permissions, versioning, retention, and archival.docs.indeed
- Standardize documents by enforcing naming conventions, templates, formats, and filing structures.
- Build and maintain metadata and taxonomy, including mandatory tags (department, owner, version, dates, approval status, access level).
- Ensure data accuracy and version control through approved versions, change logs, revision history, and obsolete archives.
- Coordinate with departmental SPOCs to collect, validate, update, and publish documents.
- Automate workflows in Power Automate for submission, review/approval, notifications, reminders, expiry alerts, and escalations.
- Establish SOPs and governance for document control, access, retention, and deletion; support audits.
- Track KMS usage, generate reports, create user guides, and drive adoption.
Requirements
- Graduate degree; preferred fields include Library & Information Science, Information Management, Business Administration,
Data Management, Computer Applications, Quality Management, or equivalent.
- 3–4 years of experience in knowledge management, document control, records management, data administration, MIS, or QMS/compliance documentation.
- Hands-on experience with SharePoint configuration (libraries, permissions, metadata, views, versioning).
- Working knowledge of Power Automate for review/approval flows, reminders, and alerts.
- Solid understanding of metadata, taxonomy, tagging, indexing, searchability, access controls, and version control.
- Proficiency with MS Office 365, PDF tools, and basic reporting/dashboards.
- Experience with SOPs, policy documentation, audit trails, and governance.
- High attention to detail, coordination skills, written communication, and ability to maintain confidentiality.
Preferred Competencies
- Ability to convert scattered documents into a controlled, searchable knowledge base.
- Comfort with cross-functional coordination, training, and management reporting.
- Familiarity with Microsoft 365 (SharePoint, OneDrive, Teams, Power Automate) and ISO/QMS or healthcare documentation is an advantage.
Candidates based in Delhi preferred.
Pay: ₹800,000.00 - ₹1,000,000.00 per year
