About Tooth Club

Tooth Club is a fast-growing healthcare organisation supporting dental practices across the UK. Our India office plays a critical role in delivering operational excellence across HR, Finance, Compliance, Marketing and Business Operations.

We are looking for an organised, proactive, and detail-oriented HR professional to take ownership of HR operations for our Mumbai office while supporting HR administration for our UK teams.

In addition to managing the employee lifecycle, this role will be responsible for building and improving HR processes, implementing policies, maintaining compliance, and helping create a professional, high-performing workplace culture.

Key Responsibilities

- Employee Onboarding & Offboarding
- Manage the end-to-end onboarding process for all new employees in UK and India.
- Prepare employment contracts, offer letters and onboarding documentation.
- Coordinate pre-employment documentation and induction programmes.
- Ensure all mandatory documents are completed before employees commence work.
- Deliver a smooth and professional onboarding experience.
- Manage probation reviews and confirmations.
- Coordinate employee exits, resignation documentation, clearance processes, and system updates.

HR Operations

- Maintain accurate employee records and HR documentation.
- Own and maintain all HR trackers, employee lifecycle trackers, and compliance records.
- Ensure HR systems and personnel files remain accurate and up to date.
- Prepare employment letters, references, and other HR documentation.
- Support contract renewals, salary amendments, and employee status changes.
- Maintain confidentiality of employee information at all times.

HR Processes, Policies & Employee Relations

- Develop, implement, and continuously improve HR policies, procedures, and operational processes for the India office.
- Ensure HR policies are communicated clearly and consistently applied across all teams.
- Set clear expectations with employees regarding company policies, workplace standards, and professional conduct.
- Support managers with employee relations, attendance management,



and performance discussions.
- Promote accountability by ensuring HR processes and policies are followed consistently.
- Identify opportunities to improve efficiency through standardization, documentation, and automation.
- Partner with leadership to build a positive, skilled, and high-performing workplace culture.

UK HR Administration

- Prepare UK employment contracts and supporting documentation.
- Conduct and maintain Right to Work documentation.
- Coordinate DBS checks and compliance documentation.
- Support Certificate of Sponsorship (CoS) administration where applicable.
- Maintain accurate compliance records for UK employees.

Compliance & Governance

- Ensure HR processes comply with company policies and relevant employment legislation.
- Maintain audit-ready HR documentation.
- Monitor mandatory compliance documentation and expiry dates.
- Support internal HR audits and compliance reviews.
- Identify and mitigate HR compliance risks.

Reporting & Administration

- Maintain HR dashboards and operational reports.
- Produce weekly and monthly HR reports for leadership.
- Track onboarding progress and outstanding HR actions.
- Maintain HR metrics and employee data accuracy.
- Recommend process improvements that enhance efficiency and employee experience.

Skills & ExperienceEssential

- Bachelor's degree in Human Resources, Business Administration or a related discipline.
- 3-5 years' experience in HR Operations, HR Administration or HR Generalist roles.
- Strong experience managing end-to-end employee onboarding and offboarding.
- Experience maintaining HR trackers, employee records and HR documentation.
- Strong understanding of the complete employee lifecycle.
- Experience creating or implementing HR policies and procedures.
- Knowledge of employee relations and performance management processes.




- Excellent organisational skills with exceptional attention to detail.
- Strong written and verbal communication skills.
- Advanced Microsoft Office skills, particularly Excel.
- Ability to manage multiple priorities and meet deadlines.
- High level of integrity and confidentiality.

Desirable

- Experience supporting UK HR operations.
- Knowledge of UK employment documentation, Right to Work checks and DBS processes.
- Experience with Certificate of Sponsorship (CoS) administration.
- Experience within the healthcare or dental industry.
- Experience working with international teams.
- Knowledge of HRIS systems and Power BI would be an advantage.

Working Hours

- Monday to Friday
- 1:00 PM IST to 9:00 PM IST
- Full-time, Work from Office (Mumbai)
