- Role Summary:
- The Purchase Head will be responsible for developing and implementing procurement strategies, managing the purchase team, negotiating with key vendors, controlling procurement costs, and ensuring timely availability of materials for projects and operations. The candidate should have strong knowledge of Cold Room and Refrigeration materials, project BOQs, technical specifications, vendor networks, and commercial negotiations.

- Experience Requirements:
- 10–15 years of experience in Purchase / Procurement, with significant experience in a managerial or leadership role.
- Mandatory experience in Cold Room, Cold Storage, Refrigeration, HVAC, or related project procurement.
- Experience with Cold Room manufacturers, Refrigeration companies, HVAC contractors, Cold Storage project companies, or Engineering Project companies will be strongly preferred.
- Should have an established vendor network for refrigeration equipment, PUF/PIR panels, cold room doors, electrical components, insulation materials, piping, hardware and project materials.
- Experience managing a purchase team and handling large-scale project procurement will be preferred.

- Required Qualifications:
- Bachelor's degree in Supply Chain Management, Procurement, Commerce, Business Administration, Mechanical Engineering, or a related field.
- MBA / PGDM in Supply Chain, Procurement or Operations will be an added advantage.
- Technical qualification in Refrigeration & Air Conditioning, Mechanical Engineering, HVAC or Cold Chain will be preferred.

- Key Responsibilities:
- 1. Procurement Strategy & Planning:




- Develop and implement procurement strategies aligned with business and project requirements.
- Plan procurement activities based on project schedules, BOQs, inventory levels, and operational requirements.
- Ensure timely availability of materials without affecting project execution.
- Establish standard procurement processes, approval mechanisms, and vendor evaluation systems.
- Monitor procurement budgets and ensure purchases are within approved commercial limits.
- 2. Cold Room & Technical Procurement:
- Coordinate offer rollouts, document collection, background verification, and onboarding activities.
- Lead procurement for Cold Room, Cold Storage, Refrigeration, HVAC, and related projects.
- Develop strong understanding of technical materials and project requirements.
- Oversee procurement
- Review BOQs, technical specifications, drawings and material requirements with Project and Engineering teams.
- Ensure procurement meets approved quality and technical specifications.
- 3. Vendor Development & Management:
- Identify, evaluate, approve, and develop reliable vendors and suppliers.
- Build and maintain a strong vendor network for cold room, refrigeration, engineering and project materials.
- Negotiate commercial terms, pricing, credit periods, delivery schedules, warranties and service conditions.
- Conduct regular vendor performance reviews based on quality, cost, delivery and service.
- Develop alternate vendors to reduce supply risks and dependency.
- 4. Cost Control & Commercial Negotiation
- Lead negotiations for major purchases and strategic procurement contracts.
- Analyse market prices and identify cost-saving opportunities.
- Conduct comparative analysis of vendor quotations and commercial proposals.
- Drive procurement cost optimisation without compromising quality or project requirements.
- Monitor price fluctuations of key materials and develop appropriate procurement strategies.
- 5. Purchase Operations & Team Management
- Lead and supervise the Purchase / Procurement team.
- Allocate purchase requirements and monitor team performance.




- Review and approve purchase orders as per company authority matrix.
- Establish explicit processes for quotation, comparison, approval, PO issuance, delivery tracking and invoice coordination.
- Train and guide the procurement team on processes, negotiation, vendor management and compliance.
- 6. Project & Internal Coordination
- Coordinate closely with Project, Engineering, Site, Stores, Operations, Finance and Accounts teams.
- Ensure procurement plans are aligned with project execution schedules.
- Resolve material shortages, delivery delays, quality concerns and supplier issues.
- Support project teams with urgent and critical procurement requirements.
- Ensure timely availability of materials at project sites and warehouses.
- 7. Inventory & Supply Chain Coordination
- Coordinate with Stores / Inventory teams to monitor stock levels and material requirements.
- Review slow-moving, non-moving and excess inventory.
- Ensure appropriate procurement planning based on existing inventory.
- Support optimisation of working capital through effective purchasing and inventory planning.
- Develop systems to improve material availability and reduce procurement lead times.
- 8. Compliance & Documentation
- Ensure procurement activities comply with company policies and approval procedures.
- Maintain proper records of vendor quotations, comparative statements, POs, contracts and commercial agreements.
- Ensure vendor documentation and statutory requirements are properly maintained.
- Coordinate with Finance and Accounts regarding invoices, payment terms and vendor reconciliation.
- Support internal and external audits related to procurement.

- Skills & Competencies:
- Strong experience in Purchase / Procurement Management.
- Mandatory knowledge of Cold Room / Cold Storage / Refrigeration / HVAC project procurement.
- Strong understanding of BOQ, technical specifications, drawings and project material requirements.
- Excellent vendor development and supplier management skills.
- Strong commercial negotiation and cost-control abilities.
