Job Description: Executive Assistant to the Promoter

Company: Foundry Chemical Industries Pvt. Ltd. Location: Jhilmil Industrial Area, Delhi. Reports to: Director Employment Type: Full-time

About the Role

Foundry Chemical Industries Pvt. Ltd. is seeking a sharp, organized, and discreet Executive Assistant to support the Promoter across business and administrative functions. The company operates a Kashmir apple procurement, CA cold storage, grading, packing, and wholesale distribution business, alongside allied ventures under active development. The role sits at the center of the Promoter's daily operations — managing schedules, coordinating with bankers/CAs/vendors, tracking documentation, and ensuring nothing falls through the cracks during a high-intensity seasonal business cycle.

This is a high-trust, high-visibility role suited to someone who thrives on structure, anticipates needs before being asked, and is comfortable moving between formal bank/legal correspondence and everyday operational coordination.

Key Responsibilities

Calendar & Communication Management

- Manage the Promoter's calendar, prioritize meeting requests, and resolve scheduling conflicts
- Screen and triage calls, emails, and WhatsApp communications; draft responses on the Promoter's behalf where appropriate
- Prepare daily/weekly briefing notes summarizing pending items, deadlines, and follow-ups

Banking, Finance & Documentation Coordination

- Liaise with bank officials, CAs, and consultants on CC facility documentation, sanction letters, and renewal timelines
- Maintain organized digital and physical filing of financial documents,



licenses, agreements, and compliance records
- Track pending signatures, submissions, and approvals; follow up proactively to avoid delays
- Assist in compiling data/documents required for banker's packs, DPRs, and periodic bank reviews

Vendor, Supplier & Contract Coordination

- Coordinate with suppliers (e.g., orchard/procurement contacts), cold storage partners, transporters, and QC consultants on scheduling and documentation
- Track contract renewal dates, PDC schedules, and follow up on outstanding commitments
- Maintain a master tracker of active vendor/supplier agreements and key terms

Travel & Logistics

- Plan and book domestic/international travel (flights, hotels, visas where applicable) for the Promoter and family
- Coordinate logistics for Kashmir procurement-season travel during peak season

Office & Personal Administration

- Oversee day-to-day administrative needs of the Jhilmil office
- Support personal administrative tasks as needed
- Maintain strict confidentiality on financial, business, and personal matters

New Venture Support

- Assist with documentation and coordination for recent company incorporation processes (ROC filings, SPICe+ paperwork follow-ups,



liaising with company secretary/CA)
- Track action items across parallel business initiatives and consolidate status updates for the Promoter

Required Qualifications & Skills

- Graduate degree in any discipline; commerce/business background preferred
- 3–7 years of experience as an Executive Assistant, Personal Assistant, or similar role, ideally supporting a business owner, promoter, or senior executive
- Excellent written and verbal communication skills in English and Hindi
- Strong proficiency in MS Office/Google Workspace (Excel, Word, email, calendar tools)
- High degree of discretion and integrity in handling confidential financial and personal information
- Strong organizational skills with the ability to manage multiple priorities under deadline pressure
- Comfortable interfacing with bankers, CAs, lawyers, and vendors professionally
- Prior exposure to trading, agri-business, manufacturing, or SME environments is a plus

Preferred Attributes

- Prior experience supporting a promoter-led family business or MSME
- Proactive, low-ego, "gets things done" attitude
- Ability to work independently with minimal supervision once briefed

Compensation

Commensurate with experience; to be discussed based on candidate profile.
