Job Description Purchase Planning Executive (Spare Parts)

Position: Asst Purchase Manager / Planning Executive
Department: Supply Chain / Purchase
Location: Mumbai - Head office
Reporting To: Purchase & Supply Chain Manager

Salary - 5 to 6 lacs

Job Summary

We are looking for an experienced Purchase Planning Executive with a solid background in spare parts planning, procurement, and inventory management. The ideal candidate should have experience in forecasting demand, maintaining optimum inventory levels, coordinating with suppliers, and ensuring timely availability of spare parts to support service operations. Experience in Microsoft Dynamics NAV (Navision) or Microsoft Dynamics 365 Business Central will be preferred.

Key Responsibilities

- Plan and procure spare parts based on consumption trends, demand forecasts, and inventory norms.
- Monitor stock levels and ensure optimum inventory while minimizing excess and obsolete stock.
- Generate purchase requisitions and purchase orders in ERP.
- Coordinate with vendor / suppliers for timely procurement.
- Track order status, shipments, and delivery schedules.
- Analyze spare parts consumption, lead times, and inventory turnover.
- Maintain accurate master data, pricing, and vendor information in the ERP system.
- Work closely with Service, Sales, Stores, and Finance departments to ensure uninterrupted parts availability.
- Develop monthly procurement plans and MIS reports.
- Negotiate with suppliers on lead times, and delivery performance.
- Ensure compliance with company procurement policies and documentation requirements.




- Support annual inventory audits and inventory optimization initiatives.

Required Qualifications

- Bachelor's degree in Commerce, Engineering, Supply Chain Management, or a related discipline.
- Additional qualification in Materials Management or Supply Chain will be an advantage.

Experience

- 38 years of relevant experience in purchase planning, inventory planning, or spare parts procurement.
- Experience in industries such as office automation, industrial machinery, printing equipment, automotive, engineering, capital equipment, or similar sectors is preferred.

Technical Skills

- Experience with Microsoft Dynamics NAV (Navision) or Microsoft Dynamics 365 Business Central is highly preferred.
- Strong proficiency in Microsoft Excel (Pivot Tables, VLOOKUP/XLOOKUP, data analysis).
- Knowledge of ERP-based procurement and inventory management.
- Understanding of forecasting, reorder levels, safety stock, and inventory KPIs.
